A team is preparing a proposal. One person has the discussion, another has the price sheet, and the manager's corrections sit in a message. ChatGPT Space and Pages can bring some of that work together. The useful outcome is a shared document whose sources, owner and approval status are clear.

Understand the parts before setting up access
Space organises files and pages. It replaces Library while existing Projects remain. A page is an editable document that people and their assistants can work on. A team identifies coworkers; resources and permissions are shared with that team separately.
Creating a team does not select the documents for a report. Creating a page does not connect a company drive. Those connections need their own setup. Space sharing and data controls, Teams in ChatGPT.
Start with a document someone needs to approve
One proposed pilot is a proposal preparation page. It records the agreed scope, questions for the customer and links to approved attachments. Prices come from a named price list. The proposal owner checks the dates and completeness.
Use copies of material approved for the trial. Assign a page owner and decide who can edit. Ask ChatGPT for a draft, then check each amount and deadline. Record the review time. Repeat the exercise with a second set of materials before asking colleagues to adopt it.
The second run matters: a polished first example can conceal an instruction that only works for one file layout.
A linked file and a page have different access rules
Files uploaded directly into a page follow its permissions. Linking to an external document preserves the external service's access rules. However, a summary copied from that document onto the page becomes visible to the page's readers. A restricted original can therefore produce a more widely shared extract.
Check the experience of an ordinary teammate and someone outside the project. Review the page before sharing it: the assistant may use the author's personal context while writing. Sharing the page does not expose the entire private conversation, but information written onto it is shared.
Data settings also depend on the account and workspace. Your own training opt-out does not control another person's settings. For company material, agree the rules in a managed environment and check the applicable terms. A sharing control alone does not establish whether a particular dataset may be used.

Budget for preparation and adoption
