Plan a recurring report with ChatGPT Team Tasks: source access, the execution account, time zones, missing-data checks and a realistic process budget.

A report delivered every Friday is useful when it covers the correct period and makes omissions visible. ChatGPT Team Tasks let coworkers maintain recurring work together. Before scheduling it, the important decisions concern source access and how the result will be checked.

Identify the account doing the work
A team has a service account for running cloud tasks and uses connections configured for that team. Sharing a plugin does not share its creator's personal app connection. The connected provider account still determines which information and actions are accessible.
Record who owns each connection, which folders it covers and whether it permits writes. When a colleague leaves, check whether the task still depends on their account. Team membership, Space access and permission to edit a task are separate controls.
Review invitation links too. The documentation says coworkers in the same workspace can join through a team link without a separate owner approval. Inspect existing tasks, history and connections before distributing it.
A brief for the first trial
Adapt this proposed operations-report brief to the tools available in the workspace.
Goal: draft the weekly project report.
Period: Monday 00:00 to Friday 12:00, Europe/Warsaw.
Sources: the named project register and approved report folder.
Output: project, status, source date, delay and question for the owner.
Missing data: list projects without a current source separately.
Conflicts: show both versions without selecting a deadline yourself.
Destination: a new document for the manager to review.
Limits: no sending, status changes or overwriting source documents.
Sharing a Space does not automatically make all its content part of each task. Name the sources and configure the connections. The brief describes the work; access controls enforce its limits.
Define the reporting period as well as the schedule
Specify a time zone, a cutoff and how to handle late documents. A daylight-saving change can shift local execution relative to a system operating in UTC. Check the next scheduled run shown by the product.
“Use the latest files” is insufficient. A recently uploaded document can describe an earlier period. Read the reporting period from the content or an agreed field.
Test incomplete inputs
Run the exercise manually first. Remove one report from the trial collection, add an older version and test a folder that the connection cannot read. The output should identify incomplete coverage.
Then check a scheduled run. Ask the manager's deputy to locate the result and maintain the instructions. Record review time, missing sources and runs requiring another attempt. Failed execution belongs in the cost calculation.
Budget for accepted reports
For illustration, a manual report might take two hours each week, while reviewing a draft takes 40 minutes. Four reports would recover 320 minutes, or five hours and 20 minutes. At an assumed internal cost of €30 per hour, that represents €160 of staff capacity before licences, exceptional corrections and maintenance. Replace these figures with measurements from the business.
