PricingAI assistant for business: cost and builder

AI Assistant Cost for a Business and Who Builds It in Poland (2026)

How much does an AI assistant for a business cost in Poland? It depends on whether you need a chatbot for questions, a copilot for an employee, or an agent that does the work itself. An assistant integrated with your systems is an implementation from 15,000–25,000 PLN net. First, name what you actually need.

"AI assistant for a business" is a popular but imprecise phrase. One word hides three different levels of work at different prices: a chatbot that answers questions, a copilot that helps an employee, and an agent that performs tasks across systems itself. Before you ask about price, it is worth naming what you actually need, because that decides both the cost and who should build it.

Chatbot, copilot, or agent

The simplest way not to overpay: a chatbot answers, a copilot helps, an agent does the work within boundaries. If the problem is repeat customer questions, the cheapest route is a chatbot, not an agent. If the problem is manual work between systems, a chatbot alone is not enough.

An assistant that must read data from a CRM, check documents, or update records is already a copilot or an agent, that is, an implementation rather than a widget. How to recognize which level you actually need is explained in the guide what is an AI agent.

Who builds AI assistants for businesses in Poland

There are several types of builders, and they differ less in price than in who takes responsibility for the system running in production:

  • Off-the-shelf SaaS platforms – fastest and cheapest for simple FAQ assistants, but limited on integrations and sensitive data.
  • Freelancers – flexible and cheap to start, but a single point of failure who rarely takes on maintenance.
  • Agencies and engineering firms – a higher budget, but a process, integrations, tests, and post-launch support.

Two questions separate a serious builder from the rest: do they state a price before the call, and do they name the people responsible for the implementation. Most vendors in Poland do not state a price up front. At Syntalith, engineers sign every implementation, line prices are stated plainly, and the code and documentation stay with the client. How to assess a builder step by step is laid out in how to choose a company to build an AI agent.

What drives the cost of an AI assistant

Cost grows with the scope of the work, not the name:

  • the number and quality of integrations (CRM, ERP, email, documents),
  • whether the assistant only prepares work or acts on its own,
  • sensitive data and GDPR requirements,
  • volume of cases and the monitoring needed.

We break these factors down with numbers in the guide how much an AI agent costs.

Where to start

Start with a free process scan. In 30 minutes with an engineer we will establish whether you need a chatbot, a copilot, or an agent, and you will get a written takeaway with price ranges and an honest "do not build this" when a simpler tool is enough.
