AI in a medical clinic: the scope of the first trial
Short answer
A first AI pilot in a medical clinic is best built on organisational work with no patient data, for example drafts of instructions and patient notices checked against the current source. A project on medical records needs a separate legal and technical assessment with the data protection officer. At Syntalith an app costs from €3,000 net, and at 150 notices a month of 20 minutes each it pays back in 2.5 months.

The weekly schedule and a later closure notice
Reception prepares a notice about the clinic's opening hours. It has the weekly schedule and a later notice that the clinic will close for one day. A draft based only on the schedule will give the wrong hours. The owner of the information points out the exception that applies before the text reaches patients.
The pilot covers organisational content. Assessing symptoms, the urgency of care, diagnosis and treatment stay outside its scope and need a separate analysis of the intended purpose and the requirements. If the materials contain conflicting versions of instructions, first name the version that applies and its owner, because the model should not decide which text is current by how fluent it reads.
- 01Taskone notice or instruction the staff often correct
- 02Sourcesapproved procedures with a version and an owner
- 03DraftAI prepares the text from the current source
- 04Checkthe manager compares the draft with the procedure
- 05Sign-offrefusing answers outside the scope, and a way back to the old work
- Roles and legal bases for processing agreed with the DPO
- A decision on a data protection impact assessment
- Staff permissions, backups, logs and service access
- Removing the name does not make the data anonymous
What it costs and when it pays back
- Today
- 150 organisational notices × 20 min = 50.0 h (€1,745)
- With the system, a person checks the output in 30% of the time
- €524
- Model, 1 call per case, Claude Sonnet 5.5
- €2
- Cost of one case
- €11.63 today, €3.51 with the system
- Saving
- €1,219 a month
Payback of €3,000
2.5 months
The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 4,000 input tokens and 600 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
The count covers the work around a case: searching, reading, writing and passing it on. What remains is the time to check the result, 30% of today's work in the scenario. Before the quote we time both on 20 to 100 cases the team has already handled, in a €0 test that takes 5 working days.
The scenario covers 150 organisational notices and instructions a month, where the manager compares the draft with the approved procedure. The trial includes no patient data and no clinical decisions.
A local server does not end the data assessment
A rare diagnosis with a date and a place may allow a person to be identified even without a name, so at the planning stage it is better to use invented data. Poland's data protection authority UODO lists, among the triggers for an impact assessment, large-scale processing of special categories of data (UODO on impact assessments). A local server still needs agreed permissions, backups, logs and service access. The review of the GDPR and DPAs helps prepare the questions for the assessment, and assessing the draft text itself is covered in the guide to choosing AI for doctors.

Where to start
The first step is a technical review of one process: the sources, the access and the way results are checked, with no legal opinion. The clinic names the owner of the document and the person who approves the pilot. We discuss the scope of AI in healthcare on a description of the task, without sending any patient records. We build such a rollout as part of AI apps. For the free analysis, a description of one case from recent weeks and of the tools it ran through is enough. You do not need to send confidential documents, and you get a written plan within 2 working days.

How we count the payback: a clinic's organisational work
We run the same count for your clinic in the free analysis.
€3,490
a month for handling 1,500 confirmations and appointment changes by hand
Payback: 1 mo.
4 minutes per confirmation, reminder or rescheduling and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Model cost: Claude Sonnet 5.5, about 2,000 + 300 tokens per change, at the ECB rate of 1.1205 USD per euro on 22 October 2026. Recovered visits are a scenario: we assume 1 in 30 handled changes frees a slot early, the front desk fills it from the waiting list and a visit is worth €34. In the review we count it on your price list.
