AI meeting notes: GDPR, recording and access
Short answer
Before you switch on AI notes, settle whether the company needs a recording, who processes it and who gets the result. The recording, the transcript and the task list can contain personal data, and a platform's recording notice does not settle the legal basis. At Syntalith the app costs from €3,000 net, and with 80 meetings a month at 30 minutes each it pays back in 2.9 months.

Do you need a full recording
If the goal is a list of responsible people and deadlines, compare a recording with a short note the participants approve. A recording lets you go back to what was said, and it also keeps content the task list does not need. The EDPB guide counts audio recordings that allow a person to be recognised as personal data, and reminds you of data minimisation, purpose limitation and storage time. An organisational meeting, a client consultation and an HR matter may need different rules.
If the basis is to be consent, it must be freely given. EDPB Guidelines 05/2020, paragraphs 21 to 23, point to the imbalance between employer and employee: fear of the consequences of refusing can undermine free consent. Being present at the meeting or not objecting does not resolve this.

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 12,000 input tokens and 800 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
The count covers the work around a case: searching, reading, writing and passing it on. What stays is the time to check the output, 25% of today's work in the scenario. Before we quote, we measure both times on 20 to 100 cases your team has already handled, in a €0 test that takes 5 working days.
According to the European Commission (2025), 84% of Europeans think AI at work needs careful management to protect privacy and ensure transparency. Meeting notes are a common case where this applies, because personal data sits in the recording itself.
The result can reach a wider group than the meeting
In the example, the summary of a project meeting goes to a shared channel, and the model keeps a private remark about a participant's health, although the task concerned a delivery date. Deleting the recording does not remove that information from the published note. Ending a subscription or deleting a conversation need not delete copies in connected services either, so you check how the specific product works instead of judging by the name of a button. Relations with providers are covered in the guide to GDPR and DPAs.
Short agreements, few meetings

Where to start
We run the first trial on a fictional conversation: the recipients of the result, correcting a wrongly assigned person and deleting the material in the agreed places. The legal assessment stays with the client's specialists, and the cost of a notes feature against an integration is compared in AI notes: a tool or an integration. We build this kind of rollout as part of AI apps. For the free process review, a description of one case from recent weeks and the tools it went through is enough. You do not need to send confidential documents, and you get a written plan within 2 working days.

How we count the payback: meeting notes
We run the same count for your meetings in the free process review.
€1,745
a month for writing notes after 150 meetings
Payback: 1 mo.
Our assumptions are 20 minutes for the note and task list after a meeting, and checking in 25% of the old time. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Licence: ChatGPT Business or Claude Team at 20 USD per person a month on annual billing, about €17.85 at the ECB rate of 1.1205 USD per euro on 22 October 2026. We count the whole licence against notes here, although the team also uses it for other work. Rollout: from €1,150 for up to 10 people, from €2,300 for 11 to 40 people.
