AI tender monitoring: changed terms and deadlines
Short answer
The deadline in an AI tender alert has to be tied to the current procurement documents, because the first notice does not contain later changes to the terms of reference. When you choose a monitoring service, settle where the date comes from, when it was checked and who takes over a conflict between the notice and the change. This guide follows Polish procurement law.

What Polish law says about changing tender documents
This section covers Polish public procurement. The Polish Public Procurement Law, consolidated text Dz.U. 2026 item 793, governs changes to the SWZ, the Polish terms of reference for a contract. In an open tender, Article 137 allows a change before the deadline for submitting tenders and requires it to be made available, with separate rules for the non-public part of the documents. Paragraph 6 requires the deadline to be extended when the change matters for preparing a tender or needs extra time to read it and prepare a tender.
In the basic procedure, Article 286 also describes changing the documents and extending the deadline accordingly. Its paragraphs 5 to 7 cover information on the procedure's website and the notice of the change. These are different procedural grounds. Do not pick one article number for every alert only because contract titles look alike. We checked these provisions on 11 October 2026.
These provisions give no single number of days that a model should add after every change. A specific procedure needs the published information and the right procedure type checked. Judging whether the buyer acted correctly is a separate task for the person who handles procurement.
The old attachment stays in the set
In a fictional exercise, the system downloads the notice and the terms of reference. Later the buyer publishes a change to one requirement and a notice of a new deadline. The team already has a summary of the old version saved. If the model's next task uses only the files downloaded earlier, it can return the old date again.
The proposed view keeps the document version, the moment it was downloaded and a link to the procedure's page. A change marks the earlier assessment as needing review. Adding the new date to a calendar is not enough when the corrected condition also affects the decision to take part or the documents needed for the tender.
An unavailable source does not confirm the data is current
Settle what the monitor covers: notices, procurement documents, changes and answers available in the agreed places. A lack of access to one source should be visible. The message „no changes” must never appear only because a page could not be downloaded.
When dates conflict, the result should show both sources. The person responsible for the tender checks the documents and clarifies the situation through the proper channel. The model should not pick the later date at will because it looks more convenient. In this guide we do not calculate the deadline of a specific contract or the legal remedies.
A monitoring trial before you order
For acceptance, choose past procedures whose course you know. Keep the state before the change and after it. Check whether the system spots a change of date when the attachment's name stays the same, reports a document it could not read and shows the earlier assessment as out of date. Also assess the case where part of the material is shared by a channel other than the public page.
This is a proposed test. It claims no ready connection to every platform. Compare the result with a manual review of the whole agreed sample. Counting only correctly found notices will not reveal missed updates.
Syntalith can build monitoring and a first-assessment workflow for tenders for agreed sources. The scope, source fees and maintenance need a quote. The earlier decision, whether an ordinary alert is enough, is described in the comparison of an alert and an AI agent. For the first call, one public procedure whose change was hard to notice is enough.
What it costs
- Today
- 400 procedures × 6 min = 40 h (€1,396)
- With the system, a person checks the result in 30% of the time
- €419
- Model, 1 call per case, Claude Sonnet 5.5
- €4
- Cost of one case
- €3.49 today, €1.06 with the system
- Saving
- €973 a month
Payback of €3,000
3.1 months
The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 4,000 input tokens and 300 output tokens per call at Anthropic's rates, at the ECB rate of 1.1205 USD per euro on 22 October 2026.
- The time from receiving a case to the result, before and after the change
- Cases the application passed to a person
- Corrections by the person checking
- The cost of the model and maintenance at the target volume
Where to start
In the free review we choose one process and count the volume and the team's working time, and within 2 working days you receive a written summary with a price. We build the automation as part of AI automations, from €3,000 net.

How we count the payback: tender monitoring
We run the same count for your bid team in the free review.
€1,047
a month for reviewing 600 tender notices by hand
Payback: 3.4 mo.
3 minutes to review a notice and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Model cost: Claude Sonnet 5.5, about 6,000 + 800 tokens per notice with its assessment, at the ECB rate of 1.1205 USD per euro on 22 October 2026. Reading a notice in our system alone costs about €0.0002. The tender margin is a scenario: we assume that 1 in 5,000 notices spotted in time ends in a winning bid with a margin of €4,590. In the review we count it on your tenders.
