Automation in sales and inventory software: the vendor's module or your own integration
Short answer
Simple automations in sales and inventory software, such as an order notification or a scheduled report, are often handled by the vendor's module. You check its price in the vendor's price list and count the setup separately. Your own AI integration makes sense when orders arrive as free text in email. At Syntalith it costs from €3,000 net and pays back in 2 months at 600 orders a month.

What you pay for with a ready-made module
The vendor describes the Automation module with automations that run after an event, on a schedule or after a set time. Examples are order notifications and sending a report. If you need exactly that kind of action, check the module first.

You can set up an automation yourself or ask your software partner for a quote. In the request, name the event, the conditions and who receives the result.
When an AI integration enters the quote
A customer sends an order as free text in an email, uses their own product names and gives the quantity in cartons. The company has to recognise the products, confirm the unit conversion and prepare a document for approval. An ordinary automation cannot do that.
- 01ReadingIt recognises the products from the customer's description and matches them to the product list.
- 02UnitsIt converts cartons to pieces using the approved conversion.
- 03GapsIt asks about a product it cannot match without doubt.
- 04DocumentIt prepares the order for approval in the software.
- 05ApprovalA salesperson checks and approves it. The system does not issue anything by itself.
The version of the software affects how the integration works. The vendor lists the Sfera extension among the features of the PRO version and separately for the older product line. Check your version before you ask for a quote.

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 3,000 input tokens and 500 output tokens per call at Anthropic's rates, at the ECB rate of 1.1205 USD per euro on 22 October 2026.
How to compare the total cost
| Item | What to settle in the proposal |
|---|---|
| Modules and licences | What the company has, what it must buy and for what period |
| Setup | Which conditions, documents and events the price covers |
| Your own integration | Where it reads data from, where it writes, how it handles an error |
| Trials and corrections | Which cases you test the result on and what sign-off means |
| Running | External services, infrastructure and models, if used |
| Upkeep | Who checks compatibility after a software update |
For quarterly and annual periods, multiply the quarterly fee by four and compare it with the annual one. When orders need cartons converted to pieces, tidying the product list usually decides the cost more than the difference between licence periods.
Where to start
- The full name and version of the software
- One action you want to automate
- Examples of orders from the last month, without personal data
- The number of orders a month and the time to handle one
- Who approves an order today before the document is issued
If you need a notification after a status change, start with the module and your software partner. If you need to read orders that come in many shapes, the scope is described on the sales software with AI page, where we show how to keep the order-reading trial apart from writing into the software.

How we count the payback: orders in sales software

Payback: 1.4 mo.
7 minutes to retype an order into the software and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Model cost: reading the order in our system (about €0.0006) plus matching the lines (Claude Sonnet 5.5, about 3,000 + 500 tokens), at the ECB rate of 1.1205 USD per euro on 22 October 2026.
