AI in agriculture: putting farm documents in order
Short answer
AI on a farm is best started with office work: reading delivery notes from photos, matching them to the supplier and the delivery, and flagging missing attachments. Choosing plant protection products and the conditions of subsidies are different tasks. At Syntalith the automation costs from €3,000 net, and with 400 delivery documents a month at 5 minutes each it pays back in 3.7 months.

AI on a farm: start with one type of document
A farm receives delivery notes for fertiliser, feed and fuel by email, on paper and as photos from a phone. Someone in the office types them into a spreadsheet, looks for missing documents and matches them to deliveries. Two documents from one supplier in the same week have similar names and different delivery numbers. Matching only by supplier and week links them to the wrong delivery.
The automation reads the delivery number, the supplier, the quantity and the unit, and shows the original next to the fields it recognised. An illegible quantity stays open for clarification. The unit matters: weight and number of packs answer different questions, and converting between them needs an approved basis. A photo sent again leads to the document already recognised, and a corrected document is marked as a correction.
- Two documents from one supplier in the same week
- A phone photo with an illegible quantity
- The same document photographed and sent again
- A document corrected by the supplier
Photos and PDFs can be read locally, for example with Docling, when the documents must not leave the farm's computer.
What farm document automation costs and when it pays back
- Today
- 400 delivery documents × 5 min = 33.3 h (€1,163)
- With the system, a person checks the output in 30% of the time
- €349

- €3
- Cost of one case
- €2.91 today, €0.88 with the system
- Saving

Payback of €3,000

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 2,500 input tokens and 300 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
The count covers the work around each case: searching, reading, writing and handing over. What remains is the time to check the result, 30% of today's work in the scenario. Before the quote we measure both times on 20 to 100 cases the team has already handled, in a free test that takes 5 working days.
On a farm, the office is often run by one person who also takes calls from suppliers. Minutes per document add up to hours in the months of heavy buying, in spring and autumn. So we run the test on the month with the most deliveries.
Where this scope ends
This use does not cover choosing plant protection products, doses, diagnosing diseases or interpreting the conditions of subsidies. Each of those tasks needs different sources, permissions and responsibility. With a dozen or so documents a month, tidy folders and a spreadsheet are enough, and the differences between import, OCR and AI are described in the guide to data entry automation.
A dozen or so documents a month

no build
Documents in one format from regular suppliers
import or OCR without a model
an automation
Hundreds of documents, phone photos, different suppliers
reading with AI and a person's check
from €3,000
Where to start
The first scope covers one type of document from a few suppliers, compared with one month of manual retyping. We build this kind of system as part of our AI automations. For the free process review, a description of one case from the last few weeks and the tools it went through is enough. You do not need to send confidential documents, and you receive a written plan within 2 working days.

How we count the payback: AI in agriculture
We run the same count for your farm in the free process review.

Payback: 1.9 mo.
8 minutes to describe and file a document and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Model cost: reading a document in our case file system (about €0.0002) plus a description of what is missing (Claude Sonnet 5.5, about 2,000 + 300 tokens), at the ECB rate of 1.1205 USD per euro on 22 October 2026.
