AI in team tools: plan and cost

Short answer

Start AI in team tools by naming the place where the current state of a task applies. When the agreements are in Slack and the deadline in Jira or Asana, you need a rule for moving and approving changes. Ready-made rules handle simple notifications for €0. At Syntalith, an automation that reads the conversation and proposes a change costs from €3,000 net and at 400 changes a month pays back in 5.1 months.

AI in team work: statistics 2026

€0

is what a notification about a changed task field costs with a tool's ready-made rule. AI makes sense only when it reads a free conversation.

Figures checked: 22 October 2026

Not every notification needs a model

Atlassian describes sending messages to Slack with Jira automation. When you need only a notification about a change to a set field, check the ready-made rule. The setup depends on the permissions in your environment.

What to choose for which need
  • A notification about a change of status or deadline

a ready-made rule in the tool

    €0

  • A "proposed deadline" form in place of a conversation

a field in the task and a rule

    €0

  • Recognising a change request in a free conversation

an automation with AI and approval

    from €3,000

  • A separate panel to review changes from several tools

    an AI app

    from €3,000

Also keep searching for knowledge apart from changing a task. Finding a document gives no authority to change a project deadline. Search tools are compared in Notion AI or ChatGPT.

One conversation, two kinds of date

Someone in a thread writes "the client asks for Tuesday". In the task, Thursday applies. The first message describes the client's wish, the second value is the agreed delivery date. Replacing Thursday with Tuesday automatically would erase that difference.

A good view shows the request next to the current field. The task owner accepts the change, refuses it or asks for an explanation. The result shows who approved the new date and which matter the decision concerns.

What the specification must settle

QuestionExample of an agreement
Where is the true status? In the task, with only a notification in the channel
What starts the work?A marked message or a change of a field
Who approves? The task owner or a named deputy
What happens after a message is edited?A new review in place of a silent overwrite
What does the recipient see?The agreed fields, without copying the whole private thread

To start, pick one direction of flow. Two-way changes between systems need rules for settling conflicts. If the message and the task field change after approval, the system must know what it may not overwrite.

What AI in Slack, Jira and Asana costs and when it pays back

Scenario: 400 status changes retyped a month
Today
400 changes × 3 min = 20 h (€698)
With the system, a person checks the output in 15% of the time
€105
Model, 1 call per case, Claude Sonnet 5.5
€2.52
Cost of one case
€1.75 today, €0.27 with the system
Saving
€590 a month

Payback of €3,000

5.1 months

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 2,000 input tokens and 300 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.

With fewer changes the payback gets longer, so first check the ready-made rules and the "proposed deadline" field. The budget also covers what happens after the first write: permissions, the change history and error handling. Reading a public status and writing to a private project are two different scopes.

Permissions and private conversations

Conversations in Slack and comments in tasks have different audiences. A manager's private thread with a client should not land in full in a task that the whole team and subcontractors see. The system moves only the agreed fields, for example the new date and a link to the decision.

The account through which the automation reads the channels must have only the access it needs. If it may write in every project, one mistake in a rule will change tasks nobody meant to change. That is why at the start writing covers one project, and changes go through the task owner's approval.

Acceptance in the agreed environment

Trials before acceptance
  • Identical task names in two projects
  • Editing a message after the change was approved
  • A broken connection right after a write
  • A recipient without access to the source channel
  • Repeating an operation that has already run

Measure the number of changes that needed explaining and the time of the whole handling, approval included. The number of notifications sent is no benefit. A message after which an employee still looks for the right task does not improve the process. The scope of such an automation is described on the AI for team collaboration tools page.

How we count the payback: the team's work in its tools

We run the same count for your Slack, Jira or Asana in the free analysis.

€4,534

a month for finding agreements and handing over cases in a team of 10

Payback: 1 mo.

3 hours a week per person for finding agreements and handing over cases is our assumption. A 30% cut sits within the range of controlled studies (MIT: 40%, Harvard and BCG: 25%). €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Licence: ChatGPT Business or Claude Team at 20 USD per person a month on annual billing, about €17.85 at the ECB rate of 1.1205 USD per euro on 22 October 2026. Rollout: from €1,150 for up to 10 people, from €2,300 for 11 to 40 people.

Data checked on October 21, 2026.

„Is my data safe?”

Yes. You choose where they go: from your company account to the model on your server.

  1. 00Employee's private account

Customer and company data ends up in an account that the company cannot see or control. There is no data processing agreement, so it is a violation of the GDPR. When an employee leaves, the chat history goes with them.

  2. 01ChatGPT or Claude corporate account

The provider does not use your data to train models. A copy of the queries remains in his logs for up to 30 days.

  3. 02API with zero retention (ZDR)

The provider processes the request and does not save anything. It requires his consent, we prepare the application together.

  4. 03Processing in the EU

Queries are counted and stored in Europe: OpenAI in the EU region, Claude via clouds with the EU region.

  5. 04Model at your place

The open model runs on your server or in your cloud in the EU. The data does not go outside the company.

What we do with every implementation

  • Confidentiality agreement and data processing agreement before we receive any data.
  • You choose the cases for the prototype and we anonymize them upon request.
  • The data stays in the EU and we delete it after the test.
  • Corporate accounts with an administrator on your side.

When data cannot leave the company

The open model runs on your server or in your cloud in the EU. To choose from:

  4. 4 model at your place

When you have thousands of similar emails, documents or reports, we teach a small open model based on your examples. It works for you, responds quickly and costs less to maintain than a large model. We measure quality on issues that the model has not seen while learning.

Przemysław and Piotr did it in large programming and consulting companies. Artem did it before and does it today at Syntalith. It's about models on your own infrastructure, tuning and quality measurement.

AI automations

This process can go on its own. You will check this on your cases before you pay.

The system takes over repetitive work from emails, documents and spreadsheets, and hands over uncertain matters to a human. A prototype for 20-100 cases that your team has already handled costs €0. You pay the other half of the price when the system reaches your goal.

Questions

  • How much does AI in team tools cost?

Ready-made rules in Jira, Asana or Slack often cost nothing beyond the tool's licence. At Syntalith, an automation that reads a conversation and proposes a task change for approval costs from €3,000 net. At 400 changes a month it pays back in 5.1 months.

  • When is a ready-made rule enough?

When you need a notification about a change to a set field, for example the status or the deadline. Atlassian describes sending messages to Slack through Jira automation without a language model.

  • Can AI change task deadlines on its own?

It should not. "The client asks for Tuesday" is the client's wish, and the deadline in the task is the team's agreement. The system shows the proposal next to the current field, and the task owner accepts or rejects the change.

  • Where should we start?

With one direction of flow, for example from the conversation to the task, and one approver. Two-way sync needs extra rules for settling conflicts.

Let's talk

Just write, call or choose a date.

We work fast because we hate corporate cotton wool. We don't have salespeople or managers to keep an eye on managers. You talk immediately to engineers who then build your system. We respect each other's time and yours too.

We will accept 3 more companies by the end of the year.
