Where should the employee search
Notion describes Enterprise Search as a feature of the Business and Enterprise plans. It searches the Notion workspace and connected apps, cites its sources and lets you narrow the search. The documentation warns that some model settings limit the answer to the web, so check the chosen mode before the trial.
Projects in ChatGPT bring together the conversations, files and instructions of one case. The documentation notes that a Google Drive added to a project does not sync in advance, although it lets you search and read files.

If the team is only starting to work with AI, moving all its knowledge into a new tool is often a bigger project than the training itself. Start with the tool where the procedures already live, and with one department.

The hours saved are the scenario's assumption, which we check by timing the tasks before the training and after 30 days. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. ChatGPT Business Standard at $25 a seat with monthly billing, at the ECB rate of 1.1205 USD per euro on 22 October 2026.
The rollout covers accounts, rules for working with data and training on the team's tasks. After 30 days we time the same tasks again, so the assumption of an hour a week turns into a measurement.
A trial on an old and a new procedure
Prepare a fictitious procedure for returning equipment in two versions: with a 7-day and a 14-day deadline. The new version has a start date and an owner. Add an employee's note with the old deadline.

An answer with an invented deadline is an error, even when it sounds convincing. Good summaries of simple documents do not make up for exposing confidential material.
Check permissions on two accounts
Notion states that it respects permissions in connected apps and points to delays in reflecting changes to them (Enterprise Search security practices). In a project, check whether uploading a copy of a document exposes it to people without access to the original. Approving a connection to an app and agreeing to copy a file to a shared place are two separate decisions.
Count the work on updates
Licences are one item. The second is the time of the person who removes old copies, checks the connections and helps employees. A plan you already pay for lowers the cost of the trial, but it does not remove the work of tidying knowledge. When an answer has to trigger a write in a system, the scope turns into an integration.
