enova365: Workflow or AI automation?
Short answer
Workflow in enova365 routes documents and tasks to the right people by rules. AI automation makes sense when a case waits for an explanation in email or the content of a document has to be read. First check with the system's administrator what the current flow lacks. At Syntalith the automation costs from €3,000 net, and at 500 documents in the flow a month of 10 minutes each it pays back in 1.5 months.

Which stage needs to change
The description of the enova365 Workflow module sets out rules for routing documents and tasks, notifications and approvers. Walk through one closed case: if the document reached the manager but waited for an explanation of the purchase, a faster notification will not remove the gap. If the document never reached the right person, configuring the rules is enough.
An invoice covers a service for two departments. The first manager approves their part, and the second asks about the scope by email. The case view keeps both states and the question with its answer, and the process owner decides whether approval applies to a line, an amount or the whole document. AI organises the explanations from email next to the case. Approval stays with the manager.
| Option | Scope to settle |
|---|---|
| Configuring the current module | roles, transition conditions, notifications |
| Preparing data from email | linking messages to the case and showing the source |
| An extra panel | access, corrections, handing over the result |
| Saving to the program | the supported document, confirmation, behaviour after an error |
- Full approval, partial approval, a question and a later correction
- A deputy finds the last agreement and its source
- A retry after an error does not create a second record
- Saving accepted separately from the quality of reading

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 3,000 input tokens and 400 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
The count covers the work around a case: searching, reading, writing and passing things on. What stays is the time to check the result, 30% of today's work in this scenario. Before the quote we measure both times on 20 to 100 cases the team has already handled, in a free test that takes 5 working days.
The biggest cost in a document flow is the days a document waits for an answer nobody is chasing. That is why the trial measures the time from a document's arrival to the decision, next to the minutes of work.
When configuration is enough
For work on a fixed form, AI is unnecessary: a field and a check that it is filled in are enough. A model is worth assessing where free text in a message or a document has to be interpreted. Add to the price the work of the program's administrator, usage costs and upkeep after the flow changes. Do not add up all the options automatically, because some become unnecessary after a configuration change.

AI automation around the flow

Where to start
The first scope starts at the stage where an employee goes back to email for an explanation. We build this kind of system as part of our AI automations. For the free analysis, a description of one case from the last few weeks and the tools it went through is enough. You do not need to send confidential documents, and you get a written plan within 2 working days.

Payback: 1.7 mo.
6 minutes to gather the explanations for an invoice and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. We measured the model cost of €0.004 per invoice in our invoice coding system, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
