AI in HR: working time records and documentation
Short answer
AI in HR reads working time information from managers' messages, flags gaps such as a date or an employee ID, and prepares a proposed correction of the time records. HR approves the correction, and the history keeps the original entry. At Syntalith the automation costs from €3,000 net, and with 600 time record corrections a month at 6 minutes each it pays back in 2.1 months.

A manager's message is no complete finding
A manager writes: „On Tuesday Anna stayed two hours longer.” The message gives no date and no employee ID, and there are two people called Anna in the team. An automation that fills in the date from the day it runs and picks the first Anna on the list will record overtime for the wrong person on a Tuesday from the wrong week.
The proposed workflow keeps the text of the message and flags the missing information: the date and the person. An HR employee clarifies them with the manager and only then prepares the correction. In Poland, Article 149 of the Labour Code links working time records to the correct calculation of pay and other benefits, and Article 94 concerns paying wages and keeping employee documentation. We do not calculate overtime or allowances here: the rules depend on the employee's situation and HR sets them.
- Two fictional employees with the same first name
- A message with no date
- A correction after the previous summary was accepted
- The same file sent again, and access by a person outside the team
A correction leaves a readable history: who gave the clarification, the field changed and the version passed to payroll. Access to information is separate from approving a correction, because a manager may need the status of a case without the full documentation of another person.
What automated working time corrections cost and when they pay back

- 600 time record corrections × 6 min = 60 h (€2,094)
- With the system, a person checks the output in 30% of the time

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 2,000 input tokens and 300 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
The count covers the work around each case: searching, reading, writing and handing over. What remains is the time to check the result, 30% of today's work in the scenario. Before the quote we measure both times on 20 to 100 cases the team has already handled, in a free test that takes 5 working days.
A mistake in the records comes back in pay and in documentation the employer keeps for years. So in the test we count minutes and also the reports where the automation rightly stopped at a missing date or person.
Check what your current software can do
If your HR software handles managers' requests and approvals, an extra model is not needed. With a form that holds the date and the employee ID, rules without AI are enough. Reading messages makes sense when managers report changes by email and chat in free form. A copy of employee data in the history of an AI tool needs the same access and retention rules as HR files.

Where to start
The first scope covers the reports of one department, compared with the corrections entered by hand in a closed month. We build this kind of system as part of our AI automations. For the free process review, a description of one case from the last few weeks and the tools it went through is enough. You do not need to send confidential documents, and you receive a written plan within 2 working days.

How we count the payback: AI in HR and payroll
We run the same count for your department in the free process review.
€2,908
a month for handling 1,000 employee documents by hand
Payback: 1.2 mo.
5 minutes to receive and check an employee document and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Model cost: reading a document in our case file system (about €0.0002) plus a description of what is missing (Claude Sonnet 5.5, about 2,000 + 300 tokens), at the ECB rate of 1.1205 USD per euro on 22 October 2026.
