AI in HR: payroll data and the cost of a rollout
Short answer
AI in HR prepares a list of gaps and mismatches in the data before payroll is run. Calculating pay and approving the data stay in the HR and payroll software and with people. At Syntalith the system costs from €3,000 net. At 1,000 documents a month, handling them by hand costs €2,908, and with the system €442, so the payback takes 1.2 months.

First check your current software
If a manager sends a spreadsheet and HR retypes the same information, start with the features of your HR and payroll software. Manager and employee panels often have a request workflow and working time summaries. Ask the person who looks after the software to check the modules and permissions in your installation. Filling in an existing request is often simpler than reading the same information from an email.
Extra work makes sense where material arrives in different forms and agreeing a correction needs an exchange of emails. Using spreadsheets alone does not mean you need a model.

A correction must not vanish into the total of hours
A manager sends the summary for the month, and the next day corrects one shift. The new file has the same name. The checklist must show the employee, the period, the changed field and the version waiting for approval. Silently swapping the file makes it hard to explain where a number came from.
When an email says only "please correct Tuesday", the date and the scope are still open. AI can draft that question. It should not add hours or pick a type of absence on its own. The judgement on the substance belongs to the person responsible for HR.
What AI in HR costs and when it pays back
- Today
- 1,000 documents × 5 min = 83.3 h (€2,908)
- With the system, a person checks the output in 15% of the time

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 2,600 input tokens and 200 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
What to agree before the quote
| Element | Decision for the first scope |
|---|---|
| Input | One spreadsheet, a form or several channels |
| Matching | How to recognise the employee and the period without guessing |
| Correction | Which version applies and who approves it |
| Output | A list for review or a record in the software |
| Access | Who sees the details and who sees only how complete the data is |
Who sees which data
HR data is employees' personal data, often sensitive. Settle the scope of access before the first test, and use synthetic data for the test.
| Role | What they see in the system |
|---|---|
| Team manager | How complete their team's data is and the questions to clear up |
| HR | The details of the summaries, the corrections and the version history |
| HR deputy | The same as HR, when the person in charge is away |
| Employee | Their own requests and their status, if the workflow provides for it |
After launch, count the time spent clearing up gaps and the number of cases that come back for correction. Add to the budget changes to templates and support after an update of the HR software.
Acceptance on examples of changes
- A complete summary
- A missing employee ID
- A correction to an item already approved
- A file sent again under the same name
- The deputy's view when the person in charge is away
Assess the permissions separately. A manager needs to see how complete the data is, without the employee's whole file. The person who accepts the system should be able to state the current state of every item without asking the author of the automation what it means. According to Eurostat (2025), 48.8% of EU enterprises that considered AI and did not use it named concerns about data protection and privacy. That is why we settle the processing rules before real data is used. The next stage, with the correction accepted on the receiving side, is described on the document workflow in HR and payroll page.

How we count the payback: employee documents
We run the same count for your HR team in the free analysis.
€2,908
a month for handling 1,000 employee documents by hand
Payback: 1.2 mo.
5 minutes to receive and check an employee document and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Model cost: reading a document in our case file system (about €0.0002) plus a description of what is missing (Claude Sonnet 5.5, about 2,000 + 300 tokens), at the ECB rate of 1.1205 USD per euro on 22 October 2026.
