AI in schools: budget and first rollout plan
Short answer
Keep the first AI rollout in a school to teachers' work on materials: two versions of an explanation, tasks with an answer key, worksheets. At Syntalith a workshop day for the staff costs from €1,150 net. Student accounts, their data and grading are a separate stage. If 20 teachers save one hour a week, the workshop pays back in 0.4 months.
- net per day of closed training for the team
- from €1,150
- people in one training group
- up to 15
- after this time, we measure the effect on the same tasks
- 30 days

What the school wants to change after the training
The head teacher and the teachers should name the work they want to do on their own after the sessions. "Get to know AI tools" names no material to accept and no practice needed.
Two versions of an explanation of the same topic

from €1,150
Tasks with an answer key in several variants
a workshop and a trial with a second person
from €1,150

In Poland, a training concept prepared for the Ministry of Education links teacher preparation with understanding AI, critical thinking and checking data. It is a concept document, with no price list and no confirmation of funding.
What the school pays for
| Budget item | What to clarify before buying |
|---|---|
| Training | The participants' roles, the tasks and the form of feedback |
| Access to the tool | Who needs an account and on what terms |
| Preparation | The choice of materials and the time of the teacher who judges the content |
| Work after the sessions | Who answers questions and checks the next attempt |
| A custom app | Which task the approved tool cannot handle |
The price of a day does not define the whole programme. Ask what a beginner will get and what a teacher who already uses AI will work on. A joint demo for both groups often leaves one without the basics and the other without anything new.
What AI training for teachers costs and when it pays back
- Time saved
- 20 people × 1 h a week × 4.33 = 86.6 h
- Value of that time
- €3,022
- Licences
- $400 (€357)
- Left after licences
- €2,665 a month
Payback of a €1,150 workshop
0.4 months
The hours saved are the scenario's assumption, which we check by timing the tasks before the training and after 30 days. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. ChatGPT Business Standard licences with annual billing; vendors' education programmes may cost less. Converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
We check the hour a week on teachers' tasks: preparing worksheets, task variants and explanations, checking included. Teachers' pay differs from the EU average, so the result shows an order of magnitude to check in the quote.
Two groups of teachers, two programmes
In most schools some teachers already use AI, and some have never opened such a tool. The first group needs checking of results, work with the answer key and rules for students. The second needs a safe first task and one tool that works on the school's equipment. A joint demo for both groups ends with one group bored and the other unable to keep up. We set the workshop programme after a short survey, with separate exercises for each group.
Name the person responsible for updating materials before you expand the library. If the problem is finding approved files, first check the drive or platform the school already has.
A trial before the next stage
In the example, the team prepares a task about two price rises in a row. AI simplifies the text but removes the condition that the second rise is counted from the price after the first. The teacher solves both versions and checks the key.
- 01SetThe task, the solution and a short reason for the correction, prepared on one's own.
- 02Second personSolves the task without looking at the key.
- 03DifferenceA difference in the answers points to the passage to explain.
- 04TimePreparation counted together with checking and corrections.
A draft generated faster with a wrong key saves no time. According to a study published in Science (2023), ChatGPT cut the time of writing tasks by 40%, but only a measurement in the school will show the result on your materials.
The order of work
Before the sessions, choose the task, the person who judges it and the tool approved in the school. Check the accounts on the participants' equipment. Before you extend the work to children's data, read the guide to student data and settle the legal basis and the approved tool with the people responsible in the school. The scope for schools is described on the AI in education page.

10 minutes to find a procedure or material and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. Model cost: Claude Sonnet 5.5, about 6,000 + 500 tokens per answer from the documents, at the ECB rate of 1.1205 USD per euro on 22 October 2026.
