Rolling out ChatGPT Business: a practical team plan
Set up a company ChatGPT workspace, prepare employees and check whether it improves their work. A pilot plan with costs and acceptance criteria.

A ChatGPT Business rollout should leave employees with a usable way of working. They should know which tasks AI can help with, what data they may use and who approves the result. An administrator should be able to grant and remove access. The team manager needs evidence that the quality and time saved justify further spending.

Choose the work you want to improve
Consider a company trying to prepare sales proposals faster. An account manager gathers requirements, checks product material and writes a draft. A manager reviews the terms before it reaches the customer. This is an illustrative pilot workflow, not a reported client result.
Review several completed cases before buying seats. Record preparation and review time separately. Find out whether the delay comes from finding information or writing the proposal. If the problem is an unreliable price list, first establish which source is authoritative. A model cannot settle an internal disagreement about which version applies.
Define a useful output for the trial: perhaps a proposal draft with customer requirements, source references and missing information clearly identified. Give responsibility for assessing it to someone who currently accepts that work from the team.
What a Business workspace provides
ChatGPT Business provides a shared workspace with centralized billing and administration. Current Standard and Premium seats include ChatGPT, ChatGPT Work and Codex. API usage is billed separately. At least two paid seats are required. See the ChatGPT Business FAQ.
Business may suit a team that needs a shared environment and basic access administration. If automated account provisioning and removal through SCIM is a requirement, compare Enterprise: Business does not include SCIM. Availability of MFA also does not mean a workspace can enforce it for everyone; review SSO and your identity provider configuration. OpenAI explains these distinctions in its admin documentation.
Write down the requirements before choosing the plan. A feature comparison becomes useful once you know which controls are conditions for launch.
Prepare accounts, materials and ownership
Assign a workspace owner and a backup. Define how employees are invited, how seats are assigned and how access is removed when someone changes roles or leaves. Rehearse those steps with test accounts.
Prepare a small, current set of materials for the first workflow. Each needs an owner, an effective date and a defined audience. Test an account that should not be able to retrieve a restricted document. For shared connections, check whether the connected account gives users broader access than intended.
Separate preparing work from taking action. Drafting a proposal, writing a CRM record and sending it to a customer need different permissions. A pilot can allow drafts for review while the account owner handles sending. Explain the rules to employees and enforce the boundaries through configuration and source-system permissions.
A possible first-month plan
The following is a proposed pilot sequence. Timing depends on staff availability, source preparation and required reviews.

Include difficult cases in training: a missing attachment, conflicting deadlines or an expired price. Employees should recognize when to check a source or ask the customer for clarification. The workshop should teach them to assess the answer they receive.
Accept the rollout against agreed criteria
For proposals, check that the draft covers the customer's requirements, that commercial terms have a source and that missing information is identified. Measure preparation time including the manager's corrections.
An average can conceal poor performance on incomplete requests. Report standard cases and exceptions separately. Include abandoned attempts and tasks eventually completed manually. They are part of the cost of using the tool.
Time recovered initially creates capacity for other work. It becomes a cash saving when it reduces overtime, outsourced work or another actual expense. It might also allow the team to prepare more proposals, but that effect needs to be measured in the sales process.
Budget for the rollout
The OpenAI price list, checked on 30 September 2026, lists Standard seats at $25 per month or $20 per month when billed annually. Premium seats cost $125 or $100 respectively. Currency, taxes and purchase terms can affect the invoice.
Ten Standard seats therefore cost $250 on monthly billing or $2,400 for a year. Budget separately for additional usage if you enable it. A lower seat price does not establish whether its allowance is sufficient for the team's work.
