The library also contains a new fall booth plan describing how to prepare kits for shipment. The employee is still accounting for materials from the summer campaign.

When asked, "I have the materials from the summer booths. Where do I start?", the assistant can combine the warehouse and coordinator's guidance in one answer. The employee learns where to deliver the materials, how to prepare the inventory, and whom to ask about missing pieces. Links lead to the relevant passages. Who maintains the guidance for a shared task?

The warehouse owns the instructions for handing over materials. The coordinator owns campaign closeout arrangements and the contact information employees need. When preparing the application, we connect these materials around the task the team is handling. Publication date does not determine the stage of work: fall preparations may already be underway while some employees are still closing out summer.

The manager identifies who updates each part of the answer between seasons. A change in the collection point belongs in the warehouse instructions; a new contact belongs in the coordinator's guidance. An employee returning after a seasonal break can then find what they need without piecing together changes through conversations with several teams. If the question does not identify which campaign they are closing, the assistant should ask.

When a calendar and a clearly labeled folder are enough

For a small set of instructions, a shared seasonal page, work calendar, and clear folder names may solve the problem. Staff can see separate materials for closing the current campaign and preparing the next one. The person responsible for the page updates its links when arrangements change.

Your existing tool may also support scheduled publishing. HubSpot describes scheduling knowledge base articles to publish, update, or become unpublished at a specified date and time. Availability depends on an eligible plan, migration to the newer knowledge base tool, and assigned seats. A custom application is worth considering when questions require connecting the campaign schedule with instructions and contacts stored in different places.
