Contractor onboarding: which project, and for how long?

The same person, another project

Suppose an external specialist has an approved assignment to an implementation project through the end of the month. The project owner sponsors their participation. The coordinator links that assignment to the agreed access request and the record of issued equipment. They can check which preparations belong to this particular assignment and whom to ask about them.

Later, another manager requests the same specialist for a separate analytics project. That assignment has not yet been approved. A useful view shows the coordinator the active implementation assignment alongside the analytics manager's separate request. The new request identifies the person whose response is needed under the company's process.

The coordinator reuses the person's details while keeping the approved scope and dates separate for each project.

Before the end of the month, the implementation sponsor may request an extension. The company's decision updates the period for that project; continued email correspondence with the specialist does not itself change the end date.

From an approved assignment to preparation for work

Today, the coordinator may copy the specialist's name, project, and dates into several requests. When someone asks who invited them, the coordinator returns to the manager's email. Connecting these records makes the approved assignment the reference for agreed tasks. The person handling a request can open the project and sponsor information alongside their work.

The coordinator also needs responses from the teams performing those tasks. An approved access request may still await fulfillment. Equipment issuance refers to a particular device. Bringing those results together with the project assignment helps the coordinator ask the right person about what is still needed before work begins.

The company determines the required approvals and actions, who performs them, and what happens when participation ends or is extended. Automation can run the agreed workflow across existing tools. It does not have to replace the asset register or access management system.

When the existing system is enough

Check whether your contractor management tool already lets you associate one person with several separate projects, each with a sponsor and dates. If employees can see the tasks and responses alongside them, configuring the existing workflow may be sufficient. For a small number of contractors, a shared list with links to requests may also work.

Your identity platform may handle the access portion. Microsoft describes Entra entitlement management capabilities for external access requests, approval, assignments, expiration, and reviews. Packages group resources. These are features to check for access management; they do not replace project assignment decisions or equipment records.

An additional connection is useful when the sponsor and end date are stored in one place while the coordinator manually gathers requests from other systems. Structured records can be handled with an ordinary workflow. AI is worth considering for reading managers' free-form requests if transcribing those messages takes up the team's time.

A coordinator view connected to existing requests
