Fakturownia and KSeF: how to set up the integration step by step
Short answer
Fakturownia has its own integration with KSeF, Poland's national e-invoicing system: you turn on the add-on, choose automatic or manual authentication with certificates, decide who sends invoices and set up the receipt of purchase invoices. Extra automation makes sense only after an invoice arrives, for describing and coding it. At Syntalith the automation costs from €3,000 net, and at 1,000 purchase invoices a month of 3 minutes each it pays back in 2.3 months.

Fakturownia KSeF integration in five steps
This description rests on the vendor's documentation, which we checked on 11 October 2026, and it does not report a configuration on a client's account. Fakturownia describes its KSeF integration and where to start. In the settings, under „Integrations and add-ons”, you choose KSeF, activate the add-on, and give the connection method and the Polish tax ID (NIP).
The vendor describes two methods: automatic, where Fakturownia generates the certificates, and manual, where you upload certificates prepared earlier. According to the guide for the automatic method, the person who made the connection automatically gets the right to send, so you check other users' access separately.

- 02Authenticationthe KSeF add-on and the automatic or manual method
- 03Sendingmanual or automatic, also for documents from other integrations
- 04Receivingfetching purchase invoices by hand or automatically
- 05Checkthe status of a real invoice and its handover to accounts
Do not send a fictional invoice to the production KSeF environment. You run the check during the normal handling of a real document.
What KSeF invoice automation costs and when it pays back

- Saving

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 3,000 input tokens and 300 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
The count covers the work around a case: searching, reading, writing and passing things on. What stays is the time to check the result, 25% of today's work in this scenario. Before the quote we measure both times on 20 to 100 cases the team has already handled, in a free test that takes 5 working days.
The count concerns the work after an invoice arrives: assigning, describing and coding it. Configuring the add-on is a one-off job the team can do by following the vendor's guide. Also decide who is responsible for rejected documents, a broken connection and a change of the person who manages access, because these situations are rare and nobody remembers the procedure when they happen.
When to consider extra automation
Once the add-on works, purchase invoices reach Fakturownia. Then the work the add-on does not do begins: linking the invoice to an order or a project, describing the cost, the manager's approval and the coding. Price a solution of your own only after checking the features of Fakturownia and your accounting program. When the scope goes beyond the ready add-on, KSeF API test scenarios make accepting the connection easier.

Where to start
For the call, a description of what the team does after an invoice arrives from KSeF is enough. We build this kind of system as part of our AI automations. For the free analysis, a description of one case from the last few weeks and the tools it went through is enough. You do not need to send confidential documents, and you get a written plan within 2 working days.

How we count the payback: KSeF automation
We run the same count for your invoices in the free analysis.

Payback: 2.5 mo.
4 minutes per invoice (a check against the order and the cost description) and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. We measured the model cost of €0.004 per invoice in our invoice coding system, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
