Private AI for PMO portfolio summaries

Which projects are still waiting for customer acceptance, and what is holding up confirmation? A portfolio manager needs answers from several teams, each working with its own records. A private AI application can bring those accounts into one summary with links to the sources. It also needs to preserve the distinction between the portfolio manager's access and each project team's access.

Two projects await acceptance for different reasons

Suppose a portfolio manager has approved access to materials from projects A and B. A's update says the team has completed the agreed work and is waiting for the customer's response about acceptance. In B, the customer has submitted comments and the team is still preparing a reply. Neither project has confirmed acceptance, but each calls for a different conversation with its project manager.

The application can show both under “Customer acceptance unconfirmed,” keeping a separate explanation and source for each project. The portfolio manager can see where a customer response is awaited and where the team needs to reply first. They can prepare questions for the review without treating completed work as confirmation of acceptance. If an update does not explain where the discussion stands, the summary leaves a question for the project manager.

A portfolio view for the manager, separate records for teams

In this example, the company has authorized the portfolio manager to read both projects. Team A has access only to its own project. A team member asking about pending acceptance should therefore receive an answer about A, without content from B. The manager's combined summary also contains information from both projects, so it cannot automatically become a report available to everyone involved.

The company decides who may read the details and who may receive an approved aggregate summary. The application must apply those rules when preparing answers and when opening saved summaries and source records. Dividing documents into folders alone does not determine which material a model uses in an answer.

The portfolio report may already answer the question

If projects have complete, comparable acceptance fields, start with the report in the existing tool. A status filter and a link to each project may provide the view the manager needs. An outdated field requires follow-up with the information owner; a model cannot supply an undocumented customer response.

Language assistance is worth comparing when the reason for waiting is buried in accounts written in different ways. A model can bring their meaning into a short briefing while preserving the differences between projects. Its usefulness depends on how many descriptions the manager still has to correct or reread to understand the situation.

Also consider existing PMO products. PPM Express describes AI-written portfolio status updates and summaries based on project data. The comparison needs to establish whether the product's environment is approved for these materials and whether its portfolio view matches the access allowed to its readers.

What a private environment means here

A company may require confidential client materials to be processed on a designated server. Ollama describes local and cloud models and the option to disable cloud features. Running the model locally does not grant or enforce project permissions. The application must limit the materials used for each person according to company rules.

The proposed work also needs to cover retrieving project updates, storing summaries and copies, and access for people maintaining the application. PMO identifies the intended readers, while IT specifies the approved environment and support arrangements. This lets the company assess the full flow of confidential material, rather than base its decision solely on where the model runs.

What to inspect before extending the work

An initial proposal from Syntalith could cover one portfolio question, an agreed set of projects and a summary view with access to sources. A person authorized to read the whole set can compare it with the existing report, while a project manager sees the material available to their role.
