Training for the team

AI training in customer service

Syntalith prepares AI training for customer service in writing responses based on findings and transferring cases between consultants. The price starts from €1,150 net per day. The program includes work on your own text, discussion with the teacher and corrections checked by the second participant. The team brings approved operating rules.

Statistics

How much does AI training for customer service cost and when does it pay off?

Short answer

AI training for customer service costs from €1,150 net per day. In our Polish cost example, a PLN 4,900 training fee pays back in 2.6 months: 10 people save an hour a week, and after the licenses they have PLN 1,905 left per month. Consultants practice drafting answers, searching instructions, and recognizing human issues. We measure task time before the training and after 30 days.

70,9%

According to Eurostat (2025), 70.9% of companies in the EU that have considered AI but are not using it cited a lack of knowledge within the team as the reason.

Scope step by step

First, establishing the facts from the entire conversation

The participant organizes a fictional thread: what the client reported, what information was shared, and what the company has already responded to. With the help of AI, they prepare a working summary, then compare it with the information. They check especially for changed facts and actions that were only announced.

In a sample exercise, the consultant announced a check on part availability. A later AI sketch informs the client that the part has been ordered. The facilitator asks the author to point out the message confirming the order. The participant revises the content and describes the actual stage of the case.

Response to the client and record for the colleague

The second part of the program concerns two recipients. The client needs a clear explanation of the next step. The next consultant also needs sources, open questions, and materials already received. The participant prepares both texts, adjusting their scope to the recipient.

The facilitator discusses unconfirmed promises and statements that can be shortened without losing meaning. In the exercise, in pairs, the recipient says what they will do based on the note. If the author is asked again for the already received document, they revise the message.

Next, one information changes: the client sends the missing attachment. They do not respond to the question about the product variant. The independent task requires updating the note without closing the entire case. We evaluate the handling of sources, questions, and progress status, as well as the language understandable for the recipient.

Matching to the queue and experience

Beginners work on a shorter thread; experienced AI users can compare several versions of responses and updates. The team leader explains what commitments the consultant may make and when to pass the case further. The training does not establish the company's own policy on complaints or refund rights.

With several changes, the workshop can be repeated or split into sessions. The company plans the queue staffing so that participants have time for their own attempt. When the main issue is the lack of current instructions, first we need to determine its owner and version. Editorial practice requires a source according to which we can assess the result.

Scope of collaboration

The sessions take place in an approved tool, online, or at the client's location. Access, licenses, and material rules are agreed upon before the session; Syntalith does not sell licenses. The first program can use entirely fictional conversations.

The offer defines groups, exercises, and time for feedback. Support after the practice period requires a separate agreement. Building a chatbot or integration with a helpdesk is a separate scope. We describe the proposed program, without promising an increase in customer satisfaction or results from the training. Talk about the response that often returns to improvement, and check team training conditions.

Program tailored for shift work

A beginner participant may need help with the first draft, while someone using AI daily will benefit from working on a longer thread. The team leader may join the conversation to determine whether the response fits the company's guidelines and language.

When working in shifts, the workshop can be repeated for several groups or split into shorter meetings. In the schedule, we leave time for text revision after feedback, and we plan the queue staffing so that participants can complete the task.

How much does the training cost and when is it returned

The training starts at €1,150 net per day. We calculate the return on one process, without assumptions about the entire company.

Scenario: 10 people after training (Polish cost example, PLN)
Time saved
43.3 hours/month
Value of time
2,877 PLN
ChatGPT Business Licenses
250 USD (972 PLN)
Remaining after licenses
1,905 PLN/month

Return on training for 4,900 PLN

2.6 months

10 people × 1 hour weekly × 4.33 weeks = 43.3 hours. We cautiously assume an hourly saving per person weekly and check it by measuring task time before and after 30 days. An hour of work at 66.45 PLN is the average wage according to GUS from September 2026, including employer costs. Licenses: ChatGPT Business Standard 25 USD per place monthly, NBP exchange rate 3.8889 PLN. If the team already has licenses, the return is faster.

According to a study published in Science (2023), the time for writing tasks with ChatGPT has decreased by 40%. Therefore, the scenario adopts a cautious weekly hour and checks it by measurement.

Most common questions

How much does AI training in customer service cost?

From €1,150 net per day of sessions. The offer defines the number of groups, exercises, and time for feedback. Licenses are purchased by the company.

Does the training include building a chatbot?

Building a chatbot or integration with a helpdesk is a separate scope. We describe it on the page AI in customer service.

Can the training take place online?

Yes. We conduct sessions in the client's office in Warsaw or online, in a tool approved by the company.

„I already use AI.”

Your people too. Just no rules.

From our conversations with companies

5 na 10 employees paste sensitive data into private AI accounts: contracts, invoices, customer data.

In ESET survey (2026)

1 na 10 admits this in the survey.

Customer data pasted into a private AI account without an data processing agreement is a violation of the GDPR.

Don't worry, we won't tell anyone :)

What do we see in companies that "already use"

  • Only ChatGPT or Claude accounts, without plugins, skills, integrations and MCP servers with company tools.
  • Company programs are not connected to AI. People still click through systems and Excel, and enter chat data manually.
  • Lack of company standards: everyone writes instructions in their own way, no one shares what works.
  • No rules for personal data, GDPR and company secrets.
  • No limits and no visibility: no one knows who uses AI, how much and for what.

62% Polish employees use AI at work · 27% companies have written rules for working with AI.

  • „A large stream of documents passes my desk every week. I now review, draft and prepare them with Claude in a fraction of the time, and research that used to eat an afternoon takes minutes. It is wired into the services I already work in, so the documents reach me instead of me hunting for them.”

  • „I came in using coding agents ad hoc and left orchestrating them: loops, an agent kanban, a full development cycle that ships. What stayed with me is running context and cost on purpose, and building my own harnesses instead of waiting for a tool to ship one. It changed how I work day to day.”

  • „I run a design studio, not an engineering team, and I still left with something working. We built an agent loop that pulls in leads and keeps an eye on the competition, and I put my own site together with Claude. It was hands-on, on my real work, not a talk about AI.”

Let's talk

Just write, call or choose a date.

We work fast because we hate corporate cotton wool. We don't have salespeople or managers to keep an eye on managers. You talk immediately to engineers who then build your system. We respect each other's time and yours too.

We will accept 3 more companies by the end of the year.
