AI agents for corporate travel booking changes
An employee asks to return later from a business trip, but their hotel stay ends a day earlier. The travel coordinator needs to clarify whether the request includes another night before checking booking options. An AI agent can connect the message to the right traveler’s itinerary, identify the unanswered question, and draft a follow-up. The coordinator then receives a complete request to work with.

Returning Friday, with a hotel booked through Thursday
Suppose an identified employee asks to move only their own return journey to Friday. Their itinerary includes a return booking and a hotel stay ending Thursday. The message says nothing about extending the hotel.
An agent can find that person’s itinerary, identify the return booking, and show the requested change beside the existing arrangements. It can draft a question about the hotel:
You have asked to return on Friday, and your current hotel booking ends Thursday. Would you also like to extend the hotel stay through Friday?
Once the employee confirms that they also want the hotel extended, the agent prepares a combined request for a Friday return and a hotel stay through Friday, linked to that traveler’s bookings and messages.
The coordinator now knows which options to check with suppliers and what any internal approval needs to cover. Availability, change terms, and a new booking have not yet been confirmed. The employee’s reply clarified the request; an authorized person handles the booking work.
Keep one request together across several messages
When an employee adds details in a separate email, the coordinator needs to see them with the same trip. An agent can bring the replies together so a colleague taking over does not have to reread every thread. The latest request should be visible alongside the earlier information that explains the change.
Identifying the traveler matters particularly on group trips. One employee’s request to return later does not mean the others want the same change. In this example, the agent prepares the request for the person who sent the message. If the request cannot be reliably connected to a traveler and booking, the coordinator needs to resolve that first.
After the coordinator checks the options, their response should stay beside the original request. Someone returning to the case can then see what the employee wanted and what was established with the supplier.
Start with your travel platform
If the company manages the entire trip in one tool, start with its change and approval features. Perk’s September 2026 update describes notifications and review of trip modifications requiring approval in the mobile app.
For straightforward requests, a form asking employees to identify the trip and the bookings they want changed may also be enough. An additional agent adds little if the coordinator already receives the necessary information. Walk through a change in the current platform first and see where the team switches to email or a separate spreadsheet.
Connecting tools becomes more useful when bookings live in one place, traveler messages in another, and the coordinator repeatedly assembles the request from both. Someone still needs to read the correspondence and ask about the omitted hotel stay before passing the change on for handling.
Connect traveler messages to the coordinator’s work
