AI agents for reviewing customer requirement changes

A customer changes the packaging requirement in an accepted quote and asks sales to confirm. The salesperson needs to check what the request means for the team before replying. An AI agent can find the earlier agreement, show the difference, and draft a question for the person responsible for packaging. It can then keep the replies together so sales knows what it can tell the customer.

Simply forwarding the email often leaves a colleague to find the previous agreement. A short explanation of the requested change, linked to the relevant passage in the quote, gives them a better starting point. They can begin assessing their part of the work.

From packing kits together to individual boxes

Suppose an accepted quote specifies that kits will be packed together for shipment. In a later email, the customer asks for each kit to be boxed individually. The salesperson has both documents but has not yet heard from the person responsible for packaging.

An agent can connect the quote to the new email, identify the packaging difference, and link to both sources. The salesperson checks that the comparison concerns the right quote and passes a specific change to their colleague.

A question for the packaging owner could read:

The customer has asked for each kit to be boxed individually, while the accepted quote specifies packing the kits together. How would this affect your work, and what else do we need to establish before confirming it to the customer?

The colleague can open the quote and the new email without reconstructing the whole sales conversation. They can then explain what the change means for their work. At this point, its effect on cost or delivery is unknown. That assessment needs to come from the responsible people rather than being inferred from the request for individual boxes.

Meanwhile, sales can acknowledge the request:

We have received your request to pack each kit in a separate box. We are checking with the team what this change would mean for fulfilling the order.

Keep the colleague’s reply with the change request

After an internal reply arrives, the agent can update the summary and show sales what the team has established. If the packaging colleague raises a question for another department, it should remain visible with the person asked to answer it. The salesperson does not have to remember which thread still needs a response.

Keep the original request alongside the employees’ replies. Someone taking over the account can then see the basis for the response being prepared. A new customer email may change the earlier request again. The agent should show that change beside the existing discussion so the team does not continue assessing an outdated requirement. The person responsible for the account decides what to confirm to the customer based on the team’s explanations.

When document comparison is enough

If the customer simply sends another version of one document, start with the features in your existing editor. Word on Windows can compare two versions and, by default, display the changes in a third document. This helps locate textual differences.

For occasional changes, that result and a task for the right colleague may be sufficient. An agent has more work to help with when the request arrives by email, the earlier wording has to be found in a quote, and explanations come back from several people. Connecting those conversations and documents gives the agent the information it needs to prepare follow-up questions.
