AI agents for customer security questionnaires
A customer sends a security questionnaire, and a salesperson searches policies and previous forms for answers. A few questions still need the security team’s help. An AI agent can draft replies from current company material and identify exactly what a colleague needs to clarify.

This is particularly useful when customers ask about the same practice in different words. Instead of starting each answer from scratch, the person handling the questionnaire gets a draft linked to a company document. They can check the wording and send the responsible colleague only the part that the material does not answer.
The customer also asks how quickly access is removed
Suppose a customer asks how the company removes access when an employee leaves and how quickly it does so. The approved procedure says HR notifies IT, and IT records the completed access removal in a ticket. The document does not specify a completion time.
An agent can find the procedure and draft the supported part of the answer:

Beside the draft, the salesperson sees a link to the procedure and a note that the timing question still needs an answer. They can then ask the security owner: “What can we say about access-removal timing in this questionnaire, and which current company requirement supports that statement?” Their colleague receives the customer’s question and the document already found. They do not have to rewrite the full explanation of how HR and IT work together.
The absence of timing in that procedure does not establish that the company has no timing requirement. It means someone needs to find or confirm it before completing the answer. The agent helps direct that work to the right person. It should not add “immediately” or reuse a deadline from an old questionnaire without checking whether it still applies.
Once the responsible colleague supplies an explanation, the draft can be updated with its supporting source. The salesperson sees the answer prepared for this customer, and the reviewer can open the material behind it. The company decides who approves the response before it is sent.
A previous answer is useful only if it still applies
A library of earlier questionnaires can reduce searching, but someone needs to own the accuracy of the stored answers. When a procedure changes, a polished old description should not carry over into the next response. The person maintaining the material needs to identify the new version and decide which answers need updating.
Material used to write an answer is separate from a document sent to a customer. An employee may need an internal procedure to verify a response while the customer receives only an approved description. When scoping an agent, establish which resources the team can consult internally and which it can attach to a questionnaire.
Consider a questionnaire tool before commissioning an agent

If an existing product handles your questionnaires and source material, adopting its features and assigning answer ownership may be enough. For occasional questionnaires, a maintained answer library with clear contacts for follow-up can also be a reasonable choice.
A custom agent is worth considering when the work involves connecting material across company tools and following up with several colleagues. Before buying, establish whether the difficulty is finding information or also keeping track of unanswered questions. Connect the draft to the people who can finish it
