AI agents for coordinating technical bid clarifications

Engineering has answered part of the customer’s question, while the implementation team is still waiting for details. The bid coordinator needs both contributions before sending a technical clarification. An AI agent can connect the question to the specialists’ material and show what remains unanswered. It can also draft a request for the missing information, directed to the person who can supply it.

The useful scope includes following up after the first answer arrives. The coordinator sees who has explained their part and whose information the rest of the team needs. They can ask a specific specialist for a missing detail without forwarding the entire thread with a general request to respond.

What we know and what we need to ask the customer

Suppose a private B2B RFP asks whether the offered equipment can exchange data with the buyer’s named system and what preparation the site needs. Engineering confirms that the equipment has a documented interface. The implementation lead still needs the buyer’s system version and details of the site connection. Those have not been supplied.

An agent can gather the engineer’s answer, link to the documentation, and attach it to the customer’s question. Alongside it, the coordinator sees the information the implementation lead needs. The interface explanation is available to use, while site preparation still requires clarification.

The coordinator asks the implementation lead to specify the connection details needed. The agent uses that input to draft a message for an employee to review before sending:

To assess data exchange and preparation for implementation, we need the version of the system you identified and details of the planned connection at the site. Please provide this information so our specialists can address this part of your request.

When the customer supplies the details, they stay with the same question for engineering and the implementation lead to assess. Receiving a system version does not itself establish compatibility. The agent can assemble a draft clarification from the specialists’ findings for the team to review before sending.

One question can need several owners

A bid coordinator needs more than a note saying “technical has responded.” In this case, engineering owns the interface findings, while the implementation lead addresses preparation for work at the site. A shared view helps the coordinator return to the right person when the customer clarifies only one part of the question.

Links to answers and documents also help the person reviewing the proposal as a whole. They can check what supports the wording and spot a passage that still needs work. If the customer changes the question, the coordinator sees it beside the earlier findings and directs the change to the appropriate specialists. An earlier answer should not automatically be treated as applying to new conditions.

Check the proposal tool you already use
