AI in transport: missing documents in an order file
Short answer
AI in transport checks the documents for an order against the requirements of the specific client, assigns the files to the order and shows why the case is waiting: a missing document, an illegible photo or a file from another order. At Syntalith the automation costs from €3,000 net, and with 800 orders a month at 6 minutes of checking each it pays back in 1.3 months.

AI in transport: the list of requirements belongs to the specific case
Not every order needs the same set of attachments. The person responsible for settlement names the materials they check for each type of order and client, and that list is the basis of the check.
Today a dispatcher collects the consignment note, the proof of delivery and the driver's photos from email and messaging apps, matches them to the order and chases the missing ones. The invoice to the client waits until the file is complete, sometimes several days after delivery. When one file lands in the wrong order, settlement stalls on two cases at once, and the error only shows up at the client, who sends the invoice back.
- 01RequirementsThe list of documents for the type of order and the client.
- 02AssignmentA file goes to the order by number and content, with the reason for the match.
- 03LegibilityAn illegible photo is a separate state, kept apart from a missing document.
- 04ReasonThe employee sees why the case is waiting.
- 05RecordThe result goes into the transport system after the check.
Show the reason a case is waiting
| State of the material | What the employee sees |
|---|---|
| Document delivered | The file and its assignment to the order |
| Document missing | Which of the client's requirements is not met |
| Illegible photo | A request for a new shot in place of a guessed reading |
| File from another order | A similar number and the reason for the mismatch |
| Corrected document | The new version next to the previous one, with nothing overwritten |

The volume, the time and the checking share are the scenario's assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat. Model: 4,000 input tokens and 400 output tokens per call at Anthropic's rates, converted at the ECB rate of 1.1205 USD per euro on 22 October 2026.
The model is a small item here, because most of the work is matching files and asking for missing documents. Settling an order usually waits for one missing document, so the measurement also covers the time from departure to a complete file, beside the minutes of checking. According to Anthropic (2025), AI cuts the time of a task on documents by an estimated 87%, and the scenario counts more carefully.
First the check, then the record
- Complete cases as the reference point
- Illegible photos
- Documents with similar order numbers
- The same file passed on again
- Wrong assignments and cases marked complete despite a gap, counted separately
OpenAI's documentation on evaluations describes tests matched to the task, and in this process the cases wrongly marked complete matter most, because they come back from the client together with the invoice. The first scope is one client or one type of order, with a list of requirements approved by the person responsible for settlement. The scope is described on AI in transport and logistics, and reading consignment notes in the article on CMR. For the call, bring the list of documents your largest client requires and the number of orders that waited for a missing file last month.

3 minutes per document and checking in 15% of the old time are our assumptions. €34.90 an hour is the EU average hourly labour cost for 2025 according to Eurostat, for companies with 10 or more employees. We use it here in place of a transport sector wage. Model cost: 0.007617 USD per reading, measured in our system, which is about €0.0069 per document, at the ECB rate of 1.1205 USD per euro on 22 October 2026.
