AI for customs document coordination
The invoice is in one email and the packing list is in another. The shipment coordinator still cannot tell how the goods on the invoice relate to the contents of the cartons. Before handing the files to a customs specialist, they need an explanation from the shipper. An AI agent can gather the documents under the right shipment, identify the missing information, and draft a question. The reply then stays with the files.

This project covers the work between receiving documents and handing them over for review. The coordinator gets the files with their correspondence history, saving them from assembling the package again from email attachments. The specialist specifies what they need for that shipment and assesses whether the information is sufficient to proceed.
Pieces and cartons can describe the same shipment
Suppose a customs broker has requested an invoice and a packing list for a shipment. The invoice gives product quantities in pieces, while the packing list describes cartons. None of the documents explains how the contents of those cartons correspond to the invoice lines.
Different units do not, on their own, indicate an error. The coordinator needs to know how the goods were packed. An AI agent can show both descriptions alongside their source documents and draft a message to the shipper:

An employee reviews the question and sends it with the shipment reference. The shipper has a specific request to answer. Until they explain the packing, the number of pieces in each carton remains unknown.
When the shipper replies with an updated attachment, the response and file join the same shipment record. The coordinator can open them alongside the earlier packing list and invoice, check that they belong to this shipment, and pass them to the specialist with the explanation. The record shows what arrived after the question and who supplied the packing details.
Keep the reply with the shipment
The shipper's reply may reach someone other than the original coordinator. Keeping correspondence and documents together helps a colleague take over without asking the same question again. They should be able to find the latest request, the replies received, and the material awaiting review.
If the specialist needs another detail, the coordinator can return to the shipper with a specific question and the relevant document. The agent helps draft that message and collect the next replies. The people handling the shipment determine which documents are needed; in this example, the request comes from the customs broker.
A different problem arises when software misreads a field in an otherwise legible document. Our article on extracting data from freight documents covers that issue. Here, the documents are readable, but the shipper still needs to explain how their contents relate.
Check what your carrier or broker portal already handles
Before connecting inboxes and folders, walk through one shipment in your existing portal. It may already let you gather documents and pass them to the person handling clearance. DHL describes electronic document submission, uploading completed forms, and storing and downloading files. Check which services are available for the particular shipment.
If the shipper supplies missing material in one place and the coordinator can see the questions and answers there too, use that process. For a small number of shipments, a simple document list with links and a named owner may be enough. An agent has more work to help with when correspondence happens outside the portal: someone still has to read the explanation, attach it to the right shipment, and ask for any missing detail.
Connect shipment documents with questions to the shipper
A proposed Syntalith project would cover one document flow between your coordinator and customs specialist. The AI agent would associate files with the shipment, compare them with the agreed request, and draft questions about missing information. Replies and updated documents would return to the same record. The employee would have material ready to review and pass along, without collecting the attachments again from everyone in the email thread.
Your team identifies the document sources and the people who specify requirements and review the material.
