The same brand, a different order
Imagine a third-party logistics warehouse serving several brands. One brand's approved instructions require its return leaflet in orders placed by consumers through its online store. Wholesale orders for that same brand leave the leaflet out. An employee is packing a particular online-store order and wants to check what belongs in the parcel.
The assistant could answer: “Include this brand's return leaflet in this online-store order. That is what the consumer-order instructions specify. Wholesale orders do not include the leaflet.” Alongside the answer, it shows a link to the approved instructions and their version. The employee can read the passage about the leaflet and check that it covers the order being packed.
Identifying the brand is only part of the task. The sales channel also matters: where the order came from and whom it serves. The employee gets an explanation of a difference that could cause confusion after moving stations. The shift lead does not have to explain the same rule each time, and packing continues under the company's instructions.
Where employees can find the answer
Look at what employees already see when they open an order. If the warehouse management system, or WMS, displays the applicable packing instructions, a separate chat tool may be unnecessary. Making the existing information easier to see or organizing instructions under each customer may be enough.
Warehouse systems also support customer-specific documents. For example, Extensiv 3PL Warehouse Manager describes customer-authorized packing-slip templates with branding and order information. That is a reason to check what your current WMS can do before adding another application.
A knowledge base is more useful when the shift lead has to find a separate instruction and then establish whether it covers online orders or wholesale deliveries. A project can connect order information with the documents maintained for customers. Employees can then ask about the parcel they are packing and reach the relevant passage.
If the order does not identify its sales channel, someone needs to clarify that information first. The person managing the warehouse's relationship with that customer can help establish where to find it. The assistant should explain what is missing before it can select an instruction, rather than carrying over the rules for the previous parcel.
When a customer changes the instructions
When a leaflet or the rules for including it change, the new agreement should go into the instructions used by the team. The person responsible for the customer relationship explains which orders the change applies to. Employees see the document version alongside the answer and can open the relevant passage, while the instruction owner updates the source material.
The answer also needs to stay with the correct customer. A similar product from another brand may be packed differently. Employees should use documents for the customers they serve, under the access permissions set by the company. Reduce recurring questions to the shift lead
