Revisiting employee survey action plans

A manager preparing a discussion after an employee survey wants to revisit earlier commitments. Reports are stored in several places, and the results presentation does not always lead to the subsequent action plan. An AI knowledge base can help managers find information intended for them without opening access to raw survey responses.

Returning to an earlier commitment

Suppose a manager asks, “What did we agree after the last survey about sharing information between shifts?” An aggregate report describes difficulty finding current decisions. The action plan calls for a shared place to summarize shift handovers and names the person responsible for setting it up.

The assistant can bring these materials together and show the source of each statement. The manager knows what to ask about at the meeting. If the connected sources contain no record of the action being completed, the answer should leave that question open. A recorded plan does not establish that employees already use it or that the original difficulty has been resolved.

This use helps prepare a conversation about how the team works. It does not require identifying the author of an individual comment. “Who wrote this?” falls outside the purpose of the library, and the application should not attempt to infer someone’s identity from details in a report.

HR chooses material suitable for sharing

Source selection is central to the value of this application. A manager needs reports they can refer to and commitments relevant to their team. Raw responses, personal records, and HR working analyses do not need to enter the same application. Excluding them should be planned through source selection and access, rather than left to an instruction typed into a conversation.

A report labeled “aggregate” still needs review by those responsible for sharing it. It may contain quotations or descriptions of a small group that allow a reader to recognize an individual. Having AI read a report does not make its contents anonymous. Your company selects the version appropriate for its audience and decides who approves later additions.

Answers should retain the period and group covered by each report. Managers can compare findings, but differences between surveys do not necessarily reflect a change in sentiment. Questions or participants may have changed. HR helps explain these limits instead of leaving the assistant to infer causes.

The existing reporting tool may be enough

Qualtrics describes Text iQ for employee surveys as a text analysis tool, including topic assignment and use of those topics in dashboards. Access depends on permissions and licensing. This supports work within an existing survey environment.

If managers can easily find approved reports and related actions, another assistant may add little. A custom connection is more useful when their questions require information from scattered summaries and plans. The proposed engagement can focus on a selected set of materials and audience, with HR involved in reviewing answers.
