An AI knowledge base for insurance broker operations
A broker is preparing an answer about a client's new location. They find the policy and a location schedule with a familiar name, but the schedule belongs to the previous policy period. An AI knowledge base can help bring together the current case documents and identify the missing attachment. The broker then knows what to request before preparing an explanation for the client.

The schedule found belongs to an earlier period
Suppose a brokerage employee is looking for the document describing a business client's new location. The current policy references a location schedule. A file with a matching name is in the folder, but its contents identify the previous policy period. The schedule referenced by the current policy is missing from the materials available to the employee.
The assistant can point to the policy reference and explain: “The current policy references a location schedule. The schedule found covers the previous period. The attachment for the current policy is missing from the available documents.” It links to the relevant policy passage and the older schedule, showing the period the latter covers.
The broker can now ask the person handling the account for a specific attachment. They do not need to send a general request for “current documents” or search the old schedule again for the new location. Once the material arrives, the broker assesses it and prepares the client's explanation. A missing file in the searched collection does not establish whether the location is covered.
Help starts with assembling the right case documents
An employee taking over an account needs to understand which documents are relevant to the question. A list of filenames may be insufficient, particularly when successive periods produce similar policies and attachments. An internal assistant can help move from a question about a location to the policy, its reference, and the document still needed.
Alongside the materials found, the employee should see the client, policy period, and where the assistant searched. The attachment may still be in correspondence that has not been added to the library.
When it arrives, the person maintaining the file links it to the correct policy and period. The next employee can then reach it from the document that references it. Brokers determine which collections the assistant may search and who on the team can access them.
Use the document library you already have
If the brokerage system already connects a policy with all its attachments, a clearer case view or better search may be enough. Walk through a recent search with an employee: was the document hard to find, or was it actually missing from the collection?
Microsoft describes version history for SharePoint items and files, which can allow earlier versions to be viewed and restored when configured. This helps trace changes to a file. Its relationship to a particular policy and period still needs to be established from the documents and case records.
A custom knowledge base has a stronger case when employees regularly combine information from separate libraries and correspondence before they can read the relevant materials together. The project then helps find documents and identify gaps for the broker to resolve. Interpreting the policy remains the broker's work.
