Automating document collection for financing applications

Suppose a customer sends an attachment for a financing application. A staff member opens it and finds that it covers a different period from the one requested, while another attachment is still missing. They prepare another message to the customer. Automating document collection can bring these gaps together under the application and help staff prepare one clear request for the remaining documents.

In a proposed automation project, Syntalith connects the existing document intake channel with the case in your company's system. The customer receives a consolidated request instead of separate questions from people reviewing individual files.

An uploaded file does not settle the document request

In this example, the company's checklist specifies the document type and the period it must cover. The presence of an attachment does not establish whether the customer supplied that material. Staff need to see the period the file covers and open the passage that supports that reading. They can then confirm the discrepancy without searching the correspondence for the original request.

The second attachment is still missing. After reviewing both items, the staff member prepares one message asking for the first document covering the correct period and for the second document to be sent. The request identifies the application and the materials needed. When the customer responds, staff should find the reply and files under that same case.

If a document is unreadable or its type cannot be identified, the automation flags it for review. A staff member determines whether it is the required document or whether to ask for more information. The financing assessment takes place separately.

Less searching before the next customer contact

Someone taking over an application needs to know what was requested and what the customer has since supplied. A folder of files alone leaves them reconstructing the conversation to avoid repeating a request that has already been fulfilled. The document view should therefore include the message sent and the subsequent reply. Staff can check what remains outstanding before contacting the customer again.

Your company defines the expected documents and periods for the application type. The person responsible for this administrative stage explains when an item can be considered complete. Check your current portal first

If customers submit materials through a portal, separate upload areas for each document and a clear description of the required period may reduce later clarification. Your current form may already support required attachments. Check whether staff see them directly under the application and whether customers understand what to upload.

Microsoft Forms supports required file uploads, limits, and allowed file types. However, file uploads are available only for respondents within your own organization. This feature therefore cannot serve as a standalone attachment collection channel for external customers.

Ordinary rules can check whether a file is present in the expected place. AI is worth considering when the document type or period needs to be read from the content across different page layouts. Its usefulness depends on staff being able to check the reading and correct the match. Define the scope around one application

An initial scope can use one agreed checklist of documents and required periods. Your team identifies who follows up on missing items, and we work with the administrator to establish how to connect the existing attachment channel with the case management system.

Before agreeing to the work, walk through an application that required several requests for attachments. Did the extra contact result from an unclear request, a document covering the wrong period, or material lost between the inbox and the case? That helps determine whether to improve the portal, add a straightforward connection, or include document content reading.
