Buying Company Brain with an exit plan

When buying an internal assistant, it is worth agreeing on what your team can keep using after a change of supplier. Source documents are only part of that discussion. The work also produces connection descriptions, questions used to assess the application, and decisions about what makes an answer useful. Without an agreed handover, the next provider may have to reconstruct that knowledge.

The scope should identify what remains in your environment, what needs exporting, and which parts depend on other providers’ services. Your company can assess the proposed handover before making a purchase decision. Scope and terms need to be agreed for the particular solution.

Documents do not explain the whole application

Suppose a company uses an assistant to answer questions about organizing events. When it changes providers, it retains the guide library but lacks a record of which sources were connected and why older material was excluded. The new team receives a folder of documents without the questions employees previously used to review answers.

A useful handover includes the library, descriptions of its connections, and agreed examples of questions and the information answers should contain. The next provider can understand the work the application supports and what needs to survive the transition. A new model may still answer differently. The company nevertheless has material for assessing whether it continues to receive the explanations and links it needs.

During procurement, ask to see the proposed form of that handover. A statement that “the customer owns the data” does not establish whether you will receive a usable account of sources and dependencies. Likewise, an export file may require further work if the receiving environment cannot read it.

What can move and what needs rebuilding

Documents, source descriptions, and agreed questions may be easier to transfer than platform-dependent components. Retrieval behavior, application configuration, and connections to other systems may need adaptation. The proposal should name these dependencies instead of assuming full portability because the underlying files are accessible.

Conversation history needs a separate decision. It may contain employee or customer information absent from the document library. Your company should determine whether that history is needed for the transition, who may receive it, and what should remain in the old environment. An exit plan does not have to involve copying everything the application has ever stored.

Process owners help identify application behavior that matters to users. IT assesses technical dependencies and the ability to keep the service running. The buyer agrees on the handover scope and each party’s contribution with the provider. This keeps the discussion focused on continued use of the application rather than a list of files alone.

Existing export tools can provide a starting point

Confluence documents content export to formats including Word, PDF, HTML, and XML, depending on the export type. Available options and required permissions vary. An export can help preserve sources, but does not automatically include the application that uses them.

If your company uses an off-the-shelf tool, first examine its existing export options and the configuration you control. A custom application also needs handover arrangements. Commissioning one does not guarantee that every component can run unchanged with another provider.
