The tenant needs to arrange a delivery

In this example, a tenant is planning an office furniture delivery. The building's approved handbook says to book the loading dock through the property management office and use the service entrance. It includes the office's contact information. The colleague covering this building usually works at another property, where the front desk handles these requests.

The assistant can find the instructions for the named building and draft a reply: “Please arrange a loading dock reservation with the property management office. Furniture deliveries use the service entrance at this building. The office's contact information is below.” The employee also receives a link to the handbook, so they can read the delivery instructions and check the contact before replying.

This helps them handle the question without waiting for their colleague to return. They can direct the tenant to the right person instead of relying on habits from their usual building. If the tenant proposes a delivery time, dock availability still needs to be checked in the booking system or with the office. The handbook explains how to request a reservation; the assistant's reply does not confirm one.

Helping colleagues cover another property

Someone covering several addresses needs the building name and a link to its instructions alongside the answer. If the tenant's message does not identify the property, they ask the tenant first.

The person responsible for the building still maintains its information. When the office contact changes, they should update it where the team looks for guidance. That lets a colleague covering the property find the same information as its regular manager. Start with documents needed for everyday tenant questions and make them available to employees according to their responsibilities.

Check what your current system offers

Before building a separate knowledge base, open the property record in your current tool. It may already hold the documents and contacts; showing the team how to find them may be enough. The discussion then concerns connecting those specific sources and fitting retrieval to the team's work. Managing multiple buildings alone does not establish a need for custom software.

Help the covering colleague answer without calling the manager
