Will a technician's qualification cover the visit?
A planner assigns a technician to a future service visit because the qualification record shows a current approval. But that approval expires before the visit. Connecting qualification records to the service schedule can reveal the mismatch earlier and let the planner check whether a renewal has been approved.

When the team discovers these cases while preparing for a visit, the coordinator has to return to the person handling the documents and reconsider the assignment. Syntalith can connect renewal records to future service work so the planner can see the document review status alongside the visit. An initial scope could cover one qualification type in your existing HR system and the visits for which your company requires it.
The renewal document is awaiting review
Suppose a company requires technicians to complete specific preparation for work on a particular equipment line. The technician's approved qualification record is valid today but expires before a scheduled visit. The technician has uploaded a renewal document. The person responsible for the records has not reviewed it yet.
In the proposed solution, the planner sees the approved expiration date alongside the visit, with a note that renewal is awaiting review. Uploading an attachment does not change that date. The planner can contact the person handling the renewal with a clear understanding of what is outstanding and decide on the assignment under company rules.
The reviewer opens the new document alongside the existing record. They compare its scope and dates with the company's requirements. If more information is needed, they send the technician a comment in the same case. After approval, the application shows the new validity period and passes that information to scheduling. The previous document and decision remain in the history.
Information tied to the visit that needs it
A list of upcoming expirations helps the person maintaining the records. The planner also needs to know which scheduled jobs are affected. Otherwise, they still have to compare dates against the calendar and ask about each open renewal separately.
The connection can identify visits that fall after the approved qualification expires and link them to the relevant renewal case. If the visit moves, the comparison should reflect its new date. The planner then sees the current records relevant to the assignment where they manage the job.
Your company defines the qualifications associated with each type of work, who reviews the documents, and who decides on assignments. The developer implements those agreed rules in the application.
Start with the HR system's capabilities
In Dynamics 365 Human Resources, the certificates view shows the nearest expiration dates. Updates may require approval, depending on the settings. These are examples of capabilities to look for in your current system before building a separate register.
If your system already manages documents and their review, start by looking at how the planner can use approved dates. A configured view or an available module may be enough. The reviewer also needs to distinguish a submitted update from an accepted change and be able to return to the document supporting it.
An integration makes sense when the records are well managed but the information does not reach the scheduling tool. Documents can stay in HR while the job shows the approved scope, expiration date, and open renewal. Before commissioning that connection, establish what information both systems make available and where the team will correct an inaccurate record.
Consider a custom renewal workflow when technicians send documents through several channels, review comments get lost in email, and the planner receives only a periodically updated spreadsheet. The application could cover renewal submission, review, and notification to the people managing affected visits. Your existing HR tools and calendar can remain part of the solution.
What to retain when changing tools
Migration needs to preserve approved validity periods and renewals in progress. A document awaiting additional information should retain the reviewer's comment. The technician can then continue the existing case, and the planner knows which information supports the assignment. Older history can remain in an accessible archive.
After launch, your company continues to update requirements and appoint reviewers. Agree with the developer who handles an approved renewal that has not appeared alongside a visit and who maintains the connections when the HR system or calendar changes.
Ownership of the code and data, along with access to documentation, matters when another developer takes over. Exports should preserve documents with their validity periods and decisions, as well as open cases. Include this work when comparing a custom solution with configuring and supporting an existing product.
How Syntalith can connect renewals to service planning
Through its custom software and integration services, Syntalith can connect approved qualification records to visit dates and build a renewal review workflow where one is missing. The document reviewer works on a specific case, while the planner receives its status alongside the jobs it affects. Your team defines the required scopes and how documents are approved.
Start with the last visit that had to be moved even though the technician had previously appeared ready for the work. Tell us where the expiration date was recorded and when the planner checked it. That example can help us determine whether HR features are enough, existing systems need connecting, or a separate renewal workflow would help. See Syntalith pricing for information on how work is billed.
