Can employees use the assistant’s answer?

During a presentation, an assistant quickly finds the right procedure. Later, an employee opens it while working and still does not know where to begin. Before a wider rollout, look at what people do after reading the answer. You can then see whether the answer helps employees continue their work.

The same procedure, different starting points

Suppose an assistant points to a form for ordering event materials. An experienced coordinator knows which category to choose and where to find the campaign identifier. A newcomer receives the correct link but stops at the first field. The procedure assumes knowledge they do not yet have.

Walking through the task together reveals that difference. The employee asks about the identifier, and the owner points to its source. A proposed improvement can connect the form to a short explanation and the right place in the campaign plan. Reviewers look at whether the employee can now begin preparing the request. Opening a page alone does not establish that the order was completed.

Involve the people who will use it

Procedure authors often understand abbreviations and dependencies that others cannot see. They are needed to review the content, but their experience cannot stand in for the user's. Include people who do the work regularly and those who return to it less often. They should not have to phrase a question exactly as the provider demonstrated it.

Choose work that fits the intended rollout. If the assistant is meant to help prepare requests, focus on that activity. There is no need to cover every company procedure at once. A narrower scope makes it easier to understand whether a difficulty comes from the answer, the document, or the form itself.

User feedback should explain what happened next. “I had to ask a colleague where to get the number” points to an actionable improvement. A satisfaction rating alone may miss that someone abandoned the task or completed it through a familiar route outside the application. Conversely, a follow-up question is not necessarily failure when the work genuinely requires an owner's decision.

Usage reporting needs the context of work

Copilot Studio supports reviewing questions, sessions, and user reactions, with access requiring the appropriate role. These records can help select conversations to examine. A session outcome in the tool still needs to be related to the work the person intended to complete.

An agreed project can combine available records with short employee observations. The company determines who sees them and how long they are needed. The purpose is better task support. Comparing people by how many questions they ask will not explain why one of them got stuck in a form.

Decide what follows the first use

After the review, buyers should see examples where answers helped and where changes are needed. Syntalith can discuss improvements and their scope with the team. Sometimes a note beside the existing form or a source link is enough. Other cases call for connecting materials or changing the assistant's interface.

Tie expansion to usefulness in the agreed work. There is no need to promise that users will stop asking colleagues altogether. The company needs to understand what the tool already helps with and where owners still need to participate.
