Taking work history out of a private AI application

Syntalith can prepare a trial export and review of an agreed portion of the history in the intended environment. The buyer can then decide whether a readable archive is enough or employees need to continue selected conversations. Those goals involve different work and need not cover the company's entire history.

A conversation another person can use

Suppose an employee compared delivery options, corrected the model's first answer and used a later version. After the application changes, a colleague opens an export containing several similar answers. Without the sequence and an indication of the chosen version, she has to reconstruct what was actually used. The proposed archive shows the conversation alongside the reviewed document produced from it.

Not every old answer belongs in a new assistant's source material. The team may retain the conversation for reference while selecting only the approved document for reuse. Its owner decides what should inform later work. An earlier draft should not become an apparent company decision merely because it was imported successfully.

What the export covers

Open WebUI documents exports containing messages, metadata, model information and conversation structure, as well as imports of selected formats. It also notes that repeated imports create new conversations. The trial should open the actual exported history and its documents in the intended application.

Document links need separate attention. An export may preserve an address that worked only in the old environment. Employees need to open the source after the move and understand which conversation it belongs to. Start with histories people actually use rather than copying every attachment without a reason.

Reference archive or continued conversation?

A read-only archive may be enough when the company needs to revisit earlier work. Its purpose is relatively straightforward to assess: readers should see the retained material and where it came from. Continuing a conversation in another tool also requires assessing how the new model uses previous questions and answers. Importing text does not ensure identical assistant behavior.

If the current application already provides a useful export, the commissioned work may focus on browsing it and connecting it to documents. A custom converter becomes relevant when formats differ or the standard export makes important context difficult to follow. Replacing the entire application is not always necessary.

Moving between environments

In a private installation, the export's storage location also matters. A conversation archive may contain material from several projects, so access should follow agreed permissions. Data owners need to decide what must be retained when the old service closes. Downloading an archive does not establish that earlier copies have been removed.
