Local AI for preparing board materials
The board support team is assembling meeting materials and writing a short reading brief. Board members need to know what each topic covers and where to find the details. A local AI assistant could help prepare that guide with links to the documents. It needs to preserve the distinction between a proposal for discussion and a recorded decision.

Suppose the upcoming meeting pack includes a paper proposing the replacement of an internal reporting tool. Its author gives a reason: employees manually enter the same report data twice. The materials contain only the proposal; no decision to replace the tool has been recorded.
A useful introduction to this item could read: “The paper proposes replacing the reporting tool because employees manually enter the same data twice. The materials contain no recorded decision to proceed with the replacement.” A link beside it opens the paper. The person preparing the pack checks the text, and the reader can go directly to the author's reasoning.
“The board approved the replacement” would change the meaning. The introduction prepares readers to discuss a proposal. Keeping that distinction lets a board member approach the paper with the right question, rather than begin reading with the impression that the matter has been settled.
A short introduction helps readers find their way
A reading brief can bring together each document's subject, its main point, and a link to the full text. The support team still works from the materials for a particular meeting, but has fewer sentences to draft from scratch. Readers can more easily choose the paper they want to revisit before the discussion.
This is useful when authors submit documents of different lengths and structures. A short note and a lengthy rationale can both receive concise introductions. Brevity should still preserve who is proposing something and what a statement refers to. In the example, the paper's author supplied the reason for replacement. The assistant can help the reader without adding savings estimates or judging the choice of tool.
Showing the draft beside its source makes it easier for the support team to correct a sentence and open the relevant passage. If a paper changes before the meeting, its introduction also needs updating. Readers should receive a brief that refers to the version in their pack.
Check what the existing board portal offers
If authors already provide short, consistent summaries, an organized list of materials with links may be sufficient. It is also worth checking the existing board portal before building an application.
BoardPro describes an AI assistant that answers questions about stored materials and provides source references, respecting user permissions. It requires enablement and an eligible plan, and also draws on general model knowledge. This is a hosted option where the company permits that environment; its answers still need review.
A local application is a separate option when the company wants to prepare introductions in its own infrastructure or needs a different way to work with the pack. Compare whether the person preparing the materials reaches a draft they can check and share more quickly.
What local preparation means
The model can run on a designated company computer or server. The application reads documents from an agreed location and saves draft introductions where the team can review them. One meeting pack is enough for an initial scope. Searching an archive spanning different boards and years is a larger task.
Ollama documents a local-only mode with cloud features disabled, making cloud models and web search unavailable. That describes the software running the model. Document access and output storage across the application need separate agreement.
The support team needs to know who can open the pack and who can see an introduction before it has been checked. Whoever manages the environment should also be able to explain where document copies and saved conversations are kept.

Commissioning a board reading-brief application
Syntalith builds AI applications for document work. For a board support team, we propose an application that drafts short introductions from one pack, shows them beside their sources, and lets staff edit them before sharing. The proposal includes agreeing on the local environment, how documents reach the application, and where reviewed text is saved.
The team preparing the meeting identifies the pack and a reviewer who understands the materials. A joint assessment will show whether drafts preserve their meaning and how much editing remains. That provides a basis for deciding on further work and comparing the application with the current portal's features.
Tell us which part of preparing the pack most often requires rereading papers, and where the board's introduction is written today. We can use that context to propose a scope fitted to the task. Pricing information is available on our pricing page.
