Local AI for manufacturer warranty documents

A manufacturer's employee opens a purchase document, a photo of an identification label, and an inspection report. Before using them in a warranty review, they need to establish whether all three describe the same unit. The same model name, two serial numbers

Suppose a claim file contains a purchase document showing serial number A and a workshop inspection report showing serial number B. The model name is the same. The employee asks whether the material can be treated as documentation for one unit.

The assistant shows both numbers beside their sources and identifies the mismatch. The employee opens the originals, checks the identifiers, and requests the inspection report for the unit on the purchase document or an explanation of the difference. A matching model name does not establish that the inspection covered that particular unit.

Before continuing the claim review, the employee needs to clarify the unit's identity. Bringing the documents together does not determine the cause of a fault or the validity of a claim.

A case view that opens the relevant source

Syntalith proposes an AI application for reviewing manufacturer claim documents, running in an agreed company environment. For each case, it shows the unit identifier, the documents from which it was read, and passages that need checking. Staff can open a source and record a clarification without copying serial numbers between notes.

A useful view preserves the distinction between what a document says and a comment added by the case handler. When a corrected inspection report arrives, the employee sees it alongside the earlier material and can assess whether the difference has been explained. The next person can understand why an additional document was requested without reconstructing the entire message exchange.

The initial scope can cover one type of case and the documents the team frequently compares. Someone familiar with claim handling identifies where unit markings appear and which material is needed to check them. The administrator establishes the available sources and how authorized staff will access them.

How scan and photo quality affects the work

If a serial number is illegible in a photo, the application should leave it for review in the original. A confidently presented but misread character would make the right document harder to find. A direct view of the source location beside the number helps the employee check it.

Reading text from a scan, known as OCR, is a separate part of the application. Local processing needs to account for that step as well as the language model comparing the text. A trial using material approved by the company can show whether staff find identifiers easier to read and compare. Assessment includes time spent opening sources and correcting extracted text, alongside waiting for the suggestion.

When the existing case folder is enough

If the claim system already links documents to a serial number and lets staff open them side by side, those features are worth using. For short, organized cases, searching by identifier may be sufficient.

A separate application has a stronger case when staff repeatedly hunt for identifiers in attachments with inconsistent descriptions and then assemble the findings manually. A model can help locate relevant text, but comparison with the current tool should show how much reading and correction remains.

The local model and the rest of the application

Ollama documents a local-only mode that disables cloud models and web search. That is a feature of the software running the model. Attachment storage, question history, and staff access need agreement across the application.

The team should know which copies remain after a document is read and what application logs retain. The administrator also agrees on backups, updates, and access for anyone supporting the tool. The same permissions should cover attachments and the overviews prepared from them.

When commissioning the application, follow a case with an employee from opening it to clarifying a discrepancy. This will show whether the proposed view helps and how it should connect to the existing claim system. Ongoing application support and changes to the documents handled are agreed around that work.
