Local AI for document review before a process change

One proposal, references in several documents

Suppose a proposed change to a packaging process replaces a fixture identifier on one line. The current work instruction and inspection form still use the earlier identifier. The company requires the documents involved in this task to be processed within its own approved environment.

The assistant finds both passages and shows them with the line, document revision, and source link. The engineer opens the documents, assesses whether each reference needs changing, and records the finding beside it. Existing documentation remains in effect until the agreed approval process is completed. The assistant's list helps prepare that review.

A place for sources and the engineer's findings

Syntalith proposes a local AI application for change-document review that brings retrieved passages together with their documents and lets staff record their assessment. The engineer sees what the application found, what the source concerns, and what the document owner concluded. When several people review different materials, they can return to the same references without searching for them again.

An initial scope could cover one line and an agreed collection of instructions and forms. The change lead identifies the documents and their owners. After review, the team keeps links and findings where it handles the remaining change work. The application does not publish new instructions on its own or determine the technical scope of a change.

The application shows which document collection was searched alongside the results. Document owners still assess whether the list covers the relevant relationships.

Check the existing document links

If the document or product data system already links a fixture to the relevant instructions and forms, those relationships provide a useful starting point. A better review view or an update to the existing register may be enough.

Microsoft describes engineering change management in Dynamics 365, including identifying affected products, reviewing dependencies, and using change reports. Documents are among the information held on change orders. This is an example of an existing process worth comparing with the proposed application.

AI is worth assessing when relevant references appear in free text and the register does not take staff directly to those passages. Searching by the meaning of a question may help with related terms or abbreviations. The team can then judge whether it is easier to reach a passage and read it in context.

The local environment covers all work with the files

In this example, the model runs on a designated company computer or server. Document extraction, storage of material prepared for search, and saved findings also need agreement. The administrator defines user access and what remains in logs and backups. The model's location alone does not describe the file's full path through the application.

For scans and drawings, establish which content the application can read. An identifier inside an image may need an additional check in the source. The engineer should be able to open the full page to assess the passage in its surrounding context.

A trial on the intended hardware should reflect the work of the people reviewing documents. Measure the time from a question to a checked source, including when several employees use the tool. Comparison with current search will show how much reading and repeated searching remains.

What to agree before expanding the scope

Document owners assess the relevance of retrieved passages, while the administrator is responsible for the agreed environment and access to current files. As documentation changes, someone needs to ensure search includes the appropriate revisions. Application support and its connection to the existing change register belong alongside that allocation of work.
