Local AI for finding approved formula revisions
A process specialist finds a newer formula but needs to establish which revision is approved for a particular production line. The answer requires checking the document and its change history. A local AI assistant can bring those references together, helping the employee reach the relevant record and distinguish an approved revision from one intended for trials.

Revision three is approved; revision four is for trials
Suppose a company requires formula documentation to be processed within its own approved server environment. The specialist asks about the formula for a particular production line. The company's record explicitly confirms that revision three is approved for that line. The change history marks revision four as trial-only.
A useful answer identifies revision three and links to its approval record. It also shows revision four with a reference to the trial-only designation. The specialist can open both sources and check the basis of the answer. The answer rests on the approval recorded in the company's system.
Use the change history already available
The company may already have a system where employees can select a line and open the approved revision easily. Its existing features are worth checking first. Adding a chat to the same straightforward lookup may change little for the specialist.
Microsoft describes formula change management in Dynamics 365, including versions, lifecycle management, and a documented change and release process. It is an example of an existing system that may already hold the revision information the employee needs.
A separate application becomes worth considering when the status sits in one system and explanations of changes are in other documents. The employee knows the formula's name but has to move between sources to understand the revisions found. An assistant can connect the question to the relevant record and change note. It still needs to show which line the approval covers.
If the record does not establish the status for that line, the assistant should identify the gap. The documentation owner can then clarify the status and update the record.
What the company environment covers
In this example, the model runs on the company's approved server. The agreed environment also needs to account for material the application prepares for search and the answers it retains. Employees asking questions should receive information within their access to the documentation.
Ollama describes a local-only mode that disables cloud models and web search. This concerns the software running the model. Storage of document copies, conversations, and backups, along with access to them, needs agreement across the application.
For the team, that means a practical discussion with the administrator: where does content remain after someone looks up a formula, and who can read it later? The requirement to use the company's own server comes from its rules in this example.
Connect formula revisions with their change history
Syntalith builds AI applications for document work. For this task, we propose search that connects a specialist's question with revision records and explanations of changes in the company's approved environment. The answer view lets the reader open the document and the record confirming its status. An initial scope covers a selected part of the documentation so the team can compare the work with its existing system.
The person responsible for formulas assesses whether the answer identifies the right revision for the line. The administrator defines the available environment and access arrangements. Together, they can judge whether employees reach the information more easily and agree on how later document changes will be handled. Our article on buying local AI with a trial on your own documents covers the broader comparison process.
