When a systems integration solves the problem without AI

Employees copy data from a form into another application, so the company starts considering AI. Yet the form already contains the necessary fields, and the team can explain where each one belongs. Before choosing a model, it is worth checking whether a straightforward systems connection can solve the problem and whether the existing tools support it.

The form already has the answer

Take a hypothetical product demo request. The form contains a company name, contact address, and selected product. Under the team's existing arrangements, the request goes to the person responsible for that area. Today, an employee copies the details into the CRM and creates a task. If the assignment follows an explicit form selection, a language model has no need to infer it.

A connection can transfer the record according to agreed rules, leaving the employee with a ready request in their existing tool. The company still needs to know what happens if the CRM is unavailable or the same form arrives again. Those situations call for a visible failed transfer and a way to resume it without creating another request for the same event.

Handling these cases often takes more work than copying a complete form. A successful transfer during a presentation does not establish whether an employee can find the request after an outage. It is worth inspecting a situation that currently forces the team to check both applications manually.

Start with the tools you already have

Power Automate supports flows triggered by an event, started manually, or run on a schedule. It is one way to connect activities in supported services without a language model. Microsoft describes the trigger types in its documentation.

An existing connector or the CRM's own integration feature may be enough if it supports the required flow and gives the team a usable way to handle errors. The choice depends on the applications, available access, and connection limits. Building a separate application is not a prerequisite for automating the work.

Additional integration work may be justified when a ready-made connection leaves out necessary information, mishandles repeated submissions, or makes it difficult to establish where a transfer stopped. The purchase then concerns completing that flow. It can be described through the result expected in the employee's tool and the way a failed transfer can be investigated.

A free-form message introduces another task

In the same example, the description field might contain a request that extends beyond the selected product. If the team needs a brief summary or a suggestion to route it elsewhere, AI could help with that part. The original message should remain available, and an unclear suggestion should reach a person for review.

This addition can be assessed separately from moving the data. The team can examine whether interpretation saves useful work and where it needs checking. If employees already read every short message, a summary may add little. The connection can go live first, with further needs assessed through its actual use.

What to bring before commissioning the work

Start with one real workflow, the names of the applications, and an example of where copying becomes complicated. The client identifies the record the recipient needs and who investigates a failed transfer.
