Who maintains custom software after a SaaS replacement?
A custom application is live, but when its ERP connection first fails, the team does not know whom to call. A developer wrote the code, an administrator manages the server, and the ERP provider supports its own product. A SaaS replacement purchase should establish who takes responsibility for the service employees actually need.
Syntalith
Syntalith can discuss custom software development together with a proposed support scope. Start with an employee’s working day: what must stay available, when help is needed, and what can wait until tomorrow. That provides a basis for comparing an internal team, the developer, and a separate maintenance provider.
One incident can involve several providers
Suppose an application prepares warehouse jobs from ERP data. After an ERP change, new jobs stop appearing. Warehouse staff see an empty queue but cannot identify the cause. They need to know where to report the problem and how to find the jobs waiting to be processed.
The support arrangement should identify a person or team that follows the issue from the initial report through restoration. Some work may require the ERP administrator, but users should not have to decide which provider receives each new fragment of the problem. The company’s process owner sets priorities and agrees on how work continues during the interruption.
Distinguish application defects, adaptation to a new version of an external system, and feature development. Those activities may have different service arrangements. The buyer should understand what support covers, what needs a separate order, and who initially assesses a report.
Choose an operating model
An internal team is a natural option if it has the skills and capacity. The original developer knows the application, but availability after project completion needs agreement. A separate provider can take over with the necessary materials and access. In every model, the company needs someone who decides business changes and receives information about service problems.
Packaged SaaS support also has boundaries. Before leaving, establish which responsibilities the provider handles today and which already belong to your IT team. Include support hours, integrations, and data responsibilities in the comparison. A feature count does not describe the work required to keep an application running.
Microsoft’s Power Platform disaster recovery guidance includes critical processes, dependencies, responsible people, and testing recovery plans. It is a useful reference for discussing continuity of a custom application. The actual scope should reflect the application’s role in the business.
Applications need different levels of availability. A tool used monthly and a system supporting current warehouse dispatches have different consequences when unavailable. Discuss those consequences before selecting support. This helps match the arrangement to the team’s work rather than automatically choosing the broadest service.
A future maintainer needs more than code
The company should know where data and backups are held and who controls the accounts needed to operate the application. Agree on repository, documentation, and environment access so another person can take over. An individual provider’s personal account can complicate a handover even when the software is well documented.
Establish an exit arrangement too: an export preserving data relationships and a handover of unresolved issues. Changing the maintainer need not mean replacing the application. The incoming team needs time to learn it and a clear point at which it starts receiving support requests.
Talk to Syntalith about what happens in your business if the proposed application stops working. That discussion helps define the maintenance scope and responsibilities to include in the purchase. See our pricing page for how estimates work.
