AI agents for following up on delayed B2B deliveries

Part of a customer’s order has arrived, but the rest is still in transit. Before closing the issue, the employee handling the delay has to connect the receipt confirmation with the order and the carrier’s messages. An AI agent can bring those records together, show what the customer is still waiting for, and draft the next question for the person handling the case.

Between updates, someone has to check what was last asked, whether an answer came back, and who should take over when the issue remains unresolved. Split shipments make that harder. A “delivered” confirmation in the inbox can draw attention away from the part of the order that has yet to arrive.

One shipment received, one still delayed

Suppose a customer orders ten cartons. The company sends six in one shipment and four in another. Receipt of the first shipment is confirmed. The second is delayed, and the carrier’s latest email says it is checking the arrangements for onward transportation. It gives no revised arrival date. A logistics employee is responsible for resolving the delay, while the account manager keeps the customer informed.

The logistics employee needs to see that six cartons have arrived and four remain outstanding. They also need the latest message about the second shipment. Receipt of the first does not settle what is happening to the remaining goods.

An agent can assemble that view, linking to both shipment records and the relevant email. The employee can then work out what to ask without searching the correspondence again. In this example, they need an update on transportation for the second shipment and an estimated arrival date. A draft question could read:

Please send an update on the second shipment, containing four cartons. Your last message said you were checking the arrangements for onward transportation. Can you now provide an estimated delivery date?

The logistics employee reviews and sends the question through the team’s agreed process. Meanwhile, the account manager can tell the customer that receipt of six cartons is confirmed and that the arrival date for the remaining four is still being established. The agent has no basis for adding a date.

Keeping the unresolved shipment with the right person

An agent’s role need not end with one summary. It can follow replies about the delayed shipment and remind the employee when a question remains unanswered. The team decides when to involve someone else and who that person should be. Escalation here means handing an unresolved delivery issue to a named person with a clear explanation of what still needs an answer.

A colleague taking over should see who last contacted the carrier and what they asked. That avoids starting over with the same question. A new reply belongs with the case for that shipment, where both employees can find the subsequent discussion. If the carrier supplies an estimated date, the account manager should pass it on as an estimate.

This depends on connecting messages to the correct shipment. An order number alone may be insufficient when it covers both deliveries. If it is unclear which shipment an email concerns, an employee needs to resolve that ambiguity. Assigning it incorrectly could hide a delay or prompt an unnecessary call to the carrier.

Check what your current system already shows

Your transport system may already provide the necessary detail. SAP’s receiving specialist guide, version dated July 16, 2026, describes relationships between deliveries and shipments, separate execution and delay information, and a comparison of planned delivery time with estimated arrival. If your system already connects deliveries to the order and shows the responsible employee what remains unresolved, a better view or a reminder may be enough. An agent is worth considering when employees also have to interpret varied emails, compare them with records, and reconstruct the history of their questions. Delays alone do not establish a need for AI.

In either approach, the age of the information matters. Employees should be able to see when the carrier sent an update and when the system retrieved it. A summary generated today might still rely on yesterday’s information. An agent cannot provide current tracking if the carrier or connected system supplies no new data.
