The employee has a specific issue to discuss internally before the next payment conversation.
The service team's reply updates the same case summary. It still matters whether the customer has received it. An internal explanation may be ready while the customer is waiting for a message. Finance and the account contact can use that information to agree on the next contact without asking the customer to recount the complaint again.

Check what the finance system already shows
An existing product may already bring together some of the information needed. Microsoft describes a central collections view in Dynamics 365 Finance, activities and cases, and summaries of disputed transaction counts and amounts. Check how your team uses those capabilities before commissioning an additional tool.
If the invoice already links to a current case and its owner is clear, configuring the view or connecting existing systems may be enough. The company can also define a rule that routes a case marked as disputed to the responsible employee. That does not require a model to interpret every message.
An agent becomes useful when the relevant information sits in free-form correspondence: the customer describes the concern in an email, service answers in another thread, and finance has to understand what remains unresolved. The proposed work then includes bringing together those updates and drafting a question about the substance of the case. Start by considering one team and one type of service complaint. We would establish where invoice data comes from, where staff record complaints, and which messages can appear in the overview. Your team identifies the responsible people and how invoices relate to cases. When a customer has several open issues, the employee must be able to check which one a statement concerns.
