AI for installation application documents

The installer says they sent the corrected attachment, but the project folder still holds only the earlier file. The coordinator has to search the correspondence and follow up before passing the document to the person handling the application. An AI agent can bring together the utility's request, the installer's reply, and the files received, then draft a request for the missing revision.

Syntalith can build this connection between the inbox used for installation projects and the project documents. “Sent” still leaves a file to find

Suppose the utility has requested a corrected attachment for a particular application. The coordinator forwards the request to the installer, who replies that the document has been sent. The available correspondence contains no revised attachment, and the project folder holds the earlier version.

The agent shows the utility's request and the installer's reply alongside the file available. The coordinator needs to establish where the corrected attachment is. A draft message could read:

Thank you for confirming that you sent the document. I can find only the earlier attachment in this project's correspondence and folder. Please resend the corrected file or point me to the email containing it so I can pass it along for review.

An employee checks the draft and sends it with the project reference. The installer can supply the document or identify who received it. The agent helps keep the subsequent conversation with the original request, including when the file went to the customer first.

Once the attachment arrives, the person responsible for technical review checks that it belongs to the right project and contains the requested revision. The coordinator can then identify which file to pass to the authorized person handling the application. Receiving an email from the installer does not establish that the corrected attachment arrived or that the utility accepted it.

A colleague taking over needs the latest request

When the coordinator is away, their replacement needs to know who has already been contacted and what the team is waiting for. The project history should lead to the specific message and the file received in response. That lets a colleague follow up with the right person without asking everyone involved to send their documents again.

If the revision reached a customer inbox the agent cannot access, the coordinator still needs to ask for it to be shared. When looking at the missing-file notice, they should be able to see which locations have been checked.

Start with the utility's existing portal

The utility may already provide an online application route. For example, PG&E directs applicants to its Interconnection Portal. Confirm the applicable route with the utility for the project in question.

If the portal and your internal folder already let the team find current documents and their owners, an additional agent may be unnecessary. It is worth considering when someone still has to read emails outside the portal, track down a promised revision, and establish who should review it. An agent can connect that correspondence to the project documents.
