AI for investment committee preparation
Before an investment committee meeting, the coordinator gathers team responses and checks that the meeting materials reflect the latest findings. If the forecast assumes a customer relationship will continue while the commercial team is still discussing renewal, someone needs to clarify how to describe that assumption. An AI agent can find both records and draft a focused question for the person responsible.

The person leading the commercial workstream has written that renewal discussions remain open. The coordinator needs to establish what the committee can be told about that assumption.

The coordinator reviews and sends the question. The workstream lead's reply lets them update the memo while retaining a link to the source. If there is no new finding, continued cooperation remains a forecast assumption and the discussions remain open. The agent helps prepare material for review; the people conducting the analysis and the committee retain responsibility for assessing the assumption and making the investment decision.
Keep replies with the meeting-pack version they informed
The coordinator needs to see which explanation appeared in the pack distributed for the meeting. A response received after that version was finalized should be visible as a later update. The person leading preparation can then decide whether to send an addendum to participants. Editing the working memo must not make the earlier pack appear to have contained the new information all along.
An open question also needs its contact history: who received the request and what they replied. A colleague taking over preparation can return to the same person for clarification without asking the whole team whether anyone has resolved the issue. Document links let them read the context that a short summary leaves out.
Access covers only agreed materials and the authorized deal team. If the coordinator knows an answer sits outside that scope, they need to obtain it from the appropriate person. Beside the response, they should be able to see which sources were checked.
When a shared question list is enough
If the team already records answers and sources alongside tasks, start with the tool in use. Microsoft describes Loop task lists syncing with Planner: users can enter task titles, assign owners and due dates, and handle attachments and checklists in Planner.
A shared list may be enough when the coordinator can readily find a response and tell which assumption it addresses. An agent is worth discussing when assigning a task still leaves someone reading through scattered findings. The useful connection is between the substance of a reply and the relevant passage in the committee materials, followed by help drafting the next question.
