AI for reviewing supplier term changes

A supplier sends revised terms. Procurement can see the changed document but needs answers from the people using the service: what would the change mean in daily work? An AI agent can prepare questions for the relevant teams and gather their replies before the supplier discussion.

At Syntalith, we propose connecting a comparison of selected terms to internal correspondence. The buyer gets the source wording alongside responses from affected teams. This helps prepare the company's position when circulating a document to many recipients otherwise produces scattered comments.

What changes in service requests?

Suppose a supplier proposes replacing email requests with a portal. Procurement has found the clause but does not know how support currently uses email. The agent drafts a question for the support lead about requests submitted by people without portal accounts and how that work could be handled. It does not assume the new channel is worse.

The reply may identify a concrete negotiation or clarification topic: who can submit requests and how existing correspondence remains available. Procurement gains an argument grounded in the company's work. Qualified people retain legal assessment and the decision to accept terms.

Responses saying a team needs no action also matter. The buyer can see who has already been consulted instead of circulating the whole document again. Before contacting the supplier, they can distinguish an agreed position from questions still awaiting replies.

A comparison starts the work

Microsoft Word can compare two documents and, by default, show differences in a third without changing the originals. For a small change with one reviewer, that may be enough. An agent is unnecessary simply to highlight new words.

The workload grows when several teams must contribute to supplier questions. An agent can draft short requests about particular passages and collect the resulting comments. The company defines responsibilities. The system does not infer legal consequences from contract language.

Nor is every comment an agreed position. One employee may identify a difficulty while another proposes a way to accommodate it. The summary should retain both views and the decision still needed. Procurement can then see what requires an internal conversation before approaching the supplier.

Build around preparation for the discussion

Start with one supplier category and the people involved in its reviews. Your team selects documents, contacts, and the place where procurement records agreed responses. Syntalith can connect those sources and prepare an open-question view while retaining the existing approval process.

A completed review can show whether a proposed question reaches someone who knows the work and whether the response helps the buyer discuss a specific change. The value is gathering the team's knowledge before negotiation, without promising better commercial terms from AI.

Tell us about a recent supplier change that required comments from several departments. We can assess whether organizing the existing process is enough or whether documents and replies need connecting. See pricing for billing information.
