AI knowledge sources after their author leaves

An internal assistant may rely on a guide that everyone in a department uses, even though the file still lives in its author’s personal drive. When that person leaves, handing over their responsibilities does not resolve this dependency. The team needs to know where the source will remain and how employees will reach it from an AI answer.

The file is still needed after its author leaves

Suppose an events coordinator keeps the guide for ordering company materials in their personal drive. They have shared it with the department, and it has been connected to the internal assistant. Before leaving, they give their successor the warehouse contact, but the guide stays where it is. The assistant might still refer to stored information while the link becomes unusable following changes to the account or file.

A useful outcome of the work would be moving the selected guide into an agreed library and connecting the assistant to that source. The successor asks about ordering materials, receives an answer, and opens a document the team can maintain. The person taking responsibility for the guide also checks that its attached form and working links have been preserved. Copying the main text alone may leave those behind.

This work preserves access to knowledge that has already been recorded. If important explanations exist only in the departing employee’s memory, the handover also needs expert knowledge capture. Moving a folder will not supply those explanations.

What the team needs to take over

The department should identify material it relies on in daily work. There is no reason to add everything in a personal drive to a shared knowledge base automatically. It may include working notes, private copies, or documents intended for a smaller audience. The people responsible for that information decide what to retain, while IT determines how it will be preserved and shared.

The discussion with a supplier should also cover the connection used to retrieve documents. A team library might already exist while the application’s access still depends on one employee’s account. An agreed review can cover that dependency, the new source location, and what happens to old links.

The new content owner needs a way to update the guide and report problems with how it appears in answers. This should be someone familiar with the work it describes. An administrator can maintain a library without knowing whether the warehouse contact listed in a guide is still the right person.

Retaining files and making them usable by a team

Microsoft documents a configurable OneDrive retention period after a Microsoft 365 user is deleted. This is an administrative option worth checking in your organization. It does not choose which documents the team needs, who will maintain them, or where that work will continue. Microsoft documentation.

If the company already has a reliable file handover process and the assistant uses shared libraries exclusively, a separate project may be unnecessary. AI sources can be included in the existing employee handover. Additional work becomes useful when links and connections depend on personal resources and the team does not know which ones it still needs.
