The central report has moved, but a local report still depends on the feed
In a hypothetical example, an old order export supplies two reports. Headquarters has moved its report into the new system, while a local manager still downloads the file into a spreadsheet used to allocate work. Headquarters' confirmation covers its own report. It does not establish whether the remaining consumers can lose access to the old feed.
The coordinator needs a reference to the local spreadsheet and the person who uses it. The team agrees on a new source, and the manager checks whether it provides the information needed during the normal planning cycle. That response stays with the specific dependency. The next conversation can then address the report still awaiting a switch without revisiting the entire central reporting project.
Creating a new connection does not establish that its recipient has started using it. The register should retain both the technical team's completion record and the report owner's confirmation. That owner may notice that the new file arrives after planning begins or leaves out a necessary group of orders.
Include consumers outside the main catalog
A dependency catalog provides a starting point, but the company may also have manual downloads and local spreadsheets. Process owners contribute that information. A source with no listed consumer still needs investigation, particularly where the documentation covers only part of the environment.

If the team already has a complete consumer list for the source under review and manages the transition in its current task tool, another application may be unnecessary. A connection becomes useful when dependencies live in a catalog, confirmations remain in email, and the coordinator manually works out what is still needed for a decision.
Automation can gather those responses against the right report and identify whom to contact next. An unknown dependency remains an open question. Silence after a message goes out does not confirm that nobody needs the old source anymore.
Make the retirement decision with the responses in view
Before the change, the responsible people can review consumers that have confirmed their switch and those still needing work. If another dependent report appears after an earlier review, it belongs on the same list. Keeping the response date lets reviewers establish whether the agreement concerns the current plan.
An authorized team carries out the shutdown under the company's decision. The proposed workflow prepares the material for that decision; it does not disable the source automatically when a date passes. Known dependencies and reminders can use ordinary rules. AI may help extract a report name and suggested next step from correspondence, with the coordinator checking them against the original message.
