AI help where employees complete their work

An employee opens a company form and stops at a field they do not understand. A guide exists, but they have to leave the application, find the right document, and relate its explanation to the task in front of them. Help grounded in company knowledge can be available where the question arises.

The question arises at a particular field

Suppose an employee is requesting materials for an event. The form asks for the “material audience,” and the employee is unsure whether to enter their own team or the event attendees. They open help beside the form and ask in their own words. The guide explains that this field refers to the people the materials are intended to reach.

The assistant can explain the field and point to the relevant passage. The employee returns to the form and enters the information themselves. Answering does not require sending the entire request or filling in fields automatically. If the company later wants those actions, they would be a separate scope to discuss.

The value here is a shorter path from uncertainty to an explanation. Users should be able to see which form the conversation concerns and open the full guide. Moving a chat window beside a form adds little if the answer still concerns a different process with a similar name.

How much context does the assistant need?

The form name and the employee’s question may provide enough information. There is no need to assume that everything on the screen must be sent to the assistant. Scoping should establish what information is actually needed and how the user will see what the answer refers to.

Syntalith can adapt the connection to a selected library and how source documents open in the existing environment, where the application supports it. Your company identifies the relevant guide and the people who use the form. A joint review shows whether the explanation helps them continue and whether opening a document disrupts the task already underway.

The process owner continues to maintain the guide. If employees repeatedly ask about the same field, the best change may be a clearer label or a short explanation beside it. Questions to the assistant can then inform improvements to the form. An AI conversation does not need to remain the only way to obtain a simple explanation.

Embedding a conversation is one option

Microsoft documents publishing a Copilot Studio agent on your own website by embedding it. This provides a way to make a conversation available in an existing workspace. Publication alone does not establish which form data the agent receives or how access to source documents works.

Built-in help, clearer field labels, or a link to a short guide may be enough. Company Brain has a stronger purpose when users ask varied questions that require several approved sources. In that situation, it is worth comparing adjustments to the current tool with a custom connection and interface before commissioning another application.
