Training material: who approves its use?

Syntalith proposes defining the data scope for a model project with the client's responsible people. The result can describe material approved for the work, unresolved questions, and restrictions passed to the provider. Authorized people assess rights and permissions; the provider explains what data it needs and what will happen to it.

One folder can contain different agreements

Suppose a company wants to customize a model for service descriptions. Its archive includes its own approved writing and presentations created by partners. Employees used both during projects. That does not establish whether both may be used for training or in which environment.

The project owner needs to separate those groups and ask someone familiar with the partner agreement a specific question. If an answer is unavailable, that material can remain outside the initial scope. A trial using the company's own approved examples can assess the task without resolving the entire archive first.

Hugging Face describes recording a license in a repository card and recommends checking a project's terms of use. That is a place to find information. A file's presence in a repository does not replace assessment of its intended use in the company's project.

The provider needs to describe the work

The person approving data should know whether the work is a one-time evaluation, example preparation, or further model training. They also need to know who will access copies and whether an external service will process them. “AI project” is too broad to support a specific decision.

Before transferring material, agree which files are necessary. If the task concerns writing style, a full correspondence history may be unnecessary. The provider should explain the need and consider a narrower scope rather than collect the entire archive by default.

Decisions need to reach the people preparing examples. If some material is excluded, a manager's email alone does not ensure it stays out of later exports. The proposed scope can preserve a connection between the material supplied and its approved purpose.

A new purpose calls for a new decision

Material approved for an internal trial may later be proposed for a product serving other users. The project owner should return to the responsible person and explain the changed purpose. An earlier decision does not answer every future use question.

This also affects provider selection. The buyer needs a clear description of material flows, ending the engagement, and handling remaining copies. Details depend on agreed terms and selected tools; the model's name does not decide them.
